Job Summary

The Dornsife School of Public Health (DSPH) Dean’s Office would like to invite applicants to apply for the position of Operations and Administration Project Manager. The position requires a strong understanding of operations within the setting of an institution of higher education. The Project Manager is responsible for coordinating and monitoring the operations and administrative functions of the Dornsife School of Public Health (DSPH)’s Deans Office and will manage Dean’s Office procurement and human resources needs. Finally, the candidate will be called upon to complete special projects on a variety of topics including but not limited to yearly school space audits, ad hoc analysis of human resources data, schoolwide diversity and inclusion reporting, administration and dissemination of yearly awards, and strategic planning for the office. The successful candidate must be a detail-oriented, organized, and creative individual with the ability to manage various projects. The position will be based at the Dornsife School of Public Health and will report to the School’s Associate Dean of Finance and Administration.

Essential Functions

Dean’s Office Administration

  • Manage personnel and financial information for the Dean’s Office with a high level of confidentiality.
  • Manage portfolio of human resources needs for the Dean’s Office including posting/hiring of new positions and serving as a liaison between HR and the Dean’s Office staff when questions arise.
  • Coordinate completion of purchasing and accounts payable processing, including purchase requisitions, consultant agreements, travel reimbursement, PCARD transactions, and vendor invoice payment for the Dean's Office operations.
  • Coordinate the processing of journal entries for all funds, including yearend transfers, indirect cost recovery transfers, inter-school transactions and others as needed.

Operations

  • Train, develop and support personnel regarding university, school and department policies and procedures as well as provide onboarding, systems and logistics support.
  • Manage large-scale facilities projects and provide support to Dean’s Office Admin Coordinator to complete all other facilities projects, as needed.
  • Serve as a stopgap to manage administrative workload when there is unexpected overflow or vacancies in departments throughout the school until other solutions are sourced.
  • Attend all meetings as requested by Associate Dean to represent the school to outside parties.
  • Serve as a partner to various central offices University-wide, ensuring collaborative and positive relationships with our colleagues.
  • Evaluate areas for quality improvement or efficiencies, including the review of department volume, staffing and faculty workload.

Project Manager

  • Serve as manager and support to Assoc Deans for yearly projects including but not limited to: University Space Audit, Dornsife Faculty survey, University Finance Access Audit, return of Indirect Cost Recovery, ASPPH accreditation process, , and strategic planning.
  • Serve as a core member of the Office of Diversity, Equity, Inclusion, and Belonging (DEI_B), work closely with the Associate Dean for DEI_B to co-develop and support the execution of the School’s DEI_B & Antiracism Action Plan, provide programming support for related initiatives, serve as a School representative to the ASPPH DEI section, oversee the IDEA fellow cohort administration and programming, and other DEI_B initiatives.
  • Conduct data analysis as requested, including crafting and deploying new surveys and aiding in organizing and presenting data collected to diverse audiences.
  • Solve complex ad hoc problems that cannot be worked out at the department or center level.
  • Initiate the creation of new policies and systems to streamline operations and adapt to new needs as the school changes and evolves.
  • As called upon, design more robust, accurate and user-friendly systems to organize school data.
  • Serve as administrative backup for Associate Dean for Finance and Administration as needed.

Relationship Management

  • Works closely with and serves as primary back-up to the Associate Dean for Finance and Administration in all matters to provide top-tier service to all staff, faculty and students as well as university partners and external constituents such as vendors, accrediting body and professional affiliations.
  • Effectively manages relationships between the Dean’s Office and the school’s departments to ensure a culture of partnership and trust.
  • Understands and applies knowledge of University and School policies and procedures, and effectively communicates them to faculty, staff and students via email, presentation and updates to Dornsife.info.
  • Serve on university committees to represent and petition for DSPH, such as Administration operating Model Review, Survey Liaison Group, AEFIS User Committee, RCM Core Team and others as requested.

Dornsife.info Web/IT Manager

  • Manage the cleanup and design of School-wide information infrastructure. Write new content for pages as needed and restructure Dornsife.info as called upon.
  • Create workflow for managing content.
  • Organize relevant parties, including the Dean, staff and faculty members to review and provide approval for materials for posting.

Required Qualifications

  • Master’s degree or Equivalent
  • 0-3 years of related experience or an equivalent combination of education and experience.
  • Demonstrated excellent verbal and written communication, interpersonal, and organizational skills.
  • Skilled in completing assignments accurately and with attention to detail.
  • Ability to analyze, organize and prioritize work under pressure.
  • High level of professional ethics and ability to maintain confidentiality of data.

Preferred Qualifications

  • Proficiency with computer-based systems including but not limited to Word, Excel, Qulatrics, Redcap, and other analytic software.
  • Prior experience working in higher education.
