Job description
The Project Administrator will work closely with operations to execute job specific documentation, billing, invoicing, payroll, job costing, collections, purchase orders, and to close out orders in a timely manner

Primary Responsibilities and Key Deliverables

  • Ensure Sales Orders (SRO’s) are set up accurately
  • Verify cost codes and hours are accurate
  • Verify and validate monthly accruals
  • Enter time in for employees timely for payroll and for billing
  • Create and manage purchasing of equipment
  • Create and manage change orders when appropriate
  • Reconcile equipment, time and materials
  • Billing, invoicing, and collections to be done
  • Ensure accuracy and documentation for all SRO’s and Purchase Orders.
Required Skills and Competencies
  • Excellent verbal and written communication skills
  • Results Orientated, must be able to accomplish daily tasks
  • Must be able to utilize good judgment and be able to ask questions when something doesn’t seem right. i.e. items missing on SRO
  • Good at determining the processes necessary to get things done, knows how to organize work, understands how to separate and combine tasks into efficient workflow.
  • High discretion in dealing with sensitive and confidential information.
  • Excellent computer skills (Excel, Word, Outlook, Adobe)
  • Able to work in a team environment with employees from all levels
  • Must have excellent organizational skills and able to manage multiple tasks simultaneously
  • Must be flexible to meet changing deadlines and priorities
  • Able to handle high stress while being courteous and friendly to customers and other employees and management.

Minimum Education and Experience

  • Associates degree or related experience in an administrative role
  • Basic financial acumen in dealing with sales orders, purchase orders, payroll
