Job Summary

The Program Coordinator II is responsible for coordinating multiple courses in the Phase 1 curriculum for medical students. This position is responsible for administering the day-to-day operations of the curriculum by coordinating all educational and administrative activities related to the implementation of these courses under the direction of the course and curriculum directors.

The Program Coordinator II is also responsible for managing all aspects of exam preparation for multiple courses each year.

Essential Functions

Course Management – Manage multiple courses in the Phase 1 curriculum for medical students.

  • Responsible for all day-to-day duties, communications, and problem resolution related to the administration of the course.
  • Prepare, copy, and distribute all course materials weekly: attendance sheets, cases, assessments, etc.
  • Build and maintain course website using Blackboard Learn; work with faculty to acquire updated handouts and videos and post these and other related instructional materials; remain updated on Blackboard.
  • Evaluate course changes and adjust as needed. Communicate regularly with course directors and students to keep them current on schedule and/or content changes.
  • Communicate announcements about course deadlines to students as well as any changes in course schedules. Communicate with faculty, staff, and students about any course issues, policies, procedures. Communicate regularly with teaching faculty about upcoming sessions.
  • Participate in special projects and other such duties as may be related to the ongoing development or administration of the curriculum including accreditation activities under the direction of the Curriculum Director.

Assessment Preparation and Administration – Work with Course Directors to prepare and administer written exams and quizzes for each course. Proctor other course exams as needed.

  • Take direct responsibility for compilation of exams in Examsoft in collaboration with Course Directors and Assessment Office.
  • Edit and update exam questions.
  • Fulfill the role of Chief Proctor for course exams.
  • Schedule and administer makeup exams for students.

Administrative Support to the Curriculum Office

  • Function as part of a team with other course/program coordinators. Cross-train on other job duties and participate as needed.

Required Qualifications

  • Minimum of a Bachelors Degree.
  • Minimum of 3-5 years’ experience in educational administration or higher education setting.

Preferred Qualifications

  • Education and experience as outlined above.
  • Excellent oral, written, organizational, and interpersonal skills.
  • Demonstrated ability to prioritize daily assignments and demonstrate initiative in handing daily issues.
  • Must be proficient in MS Office - specifically MS Word and Excel, Outlook, and be able to learn additional software platforms. Experience with Blackboard Learn is preferred.
  • Problem solving skills.
  • Strong interpersonal and collaborative skills.
  • Ability to multi-task and work in a deadline-oriented environment.
  • Demonstrated team player, willing to take on new responsibilities as needed and to provide support for other co-workers.
