Job Summary

The Center for UMass - Industry Research on Polymers (CUMIRP) Program Manager is responsible for providing oversight and management of office and client services for the Center’s operations.


Essential Functions

Financial and Budget Management:

  • Establishes and oversees maintenance of CUMIRP membership and industry sponsors of research to establish, maintain and monitor payments, billings and receivables, and University accounting records, including detailed analysis and reconciliation of CUMIRP program accounts.
  • Monitors all CUMIRP accounts for faculty and research programs, including acting as primary business and finance administrator for the Center’s externally-funded research activities.
  • Works directly with the Controller’s office to ensure accurate financial records.
  • Prepares monthly reports for Principal Investigators and the Center Director, and, in coordination with Controller’s Office, prepares external reports as needed for cost sharing, state and federal invoicing reports and quarterly reporting to grant and industry sponsors.
  • Works with Director on financial and budgetary reviews and recommended actions for financial planning. Financial responsibility includes all CUMIRP staffing and related personnel travel, purchasing, billing and payments for all office operations.
  • Coordinates and monitors bank cards for the Center.
  • Manages the overall fiscal operations of the Center inclusive of budget management, monitoring and reporting of all participants’ fiscal activities involving project budgets from grants and contracts and related spending and financial situations, journal entries, recharges, account reconciliations and requisition approval.
  • Works with faculty to identify and resolve budget and compliance issues and reporting requirements.

Membership Management:

  • Communicates with industry and government contacts, and University faculty, staff, students and administrators.
  • Interact with existing and potential customers.
  • Monitors maintenance of research contracts and grants, and works with industry sponsors on renewals, continuations and contract amendments including execution of amendments and accompanying financials.
  • Provides timely reports to federal agencies per government contracts. Oversees current and potential sponsor information.

Office and Systems Management:

  • Manages operations for the Center which include all aspects of running an efficient office.
  • Establishes, maintains and assesses effectiveness of office functioning and all procedural and data systems for the Center, including creating and maintaining databases, client contracts, financial records, office equipment and supplies, and University procedures and policies.
  • Collaborates with Director on long-term planning for systems and strategies to enhance CUMIRP operations and overall growth of program. Acts as a resource for all participants in the Center (faculty, staff, students) regarding budget, administrative and fiscal matters. Serves as Center liaison for financial and Peoplesoft updates.

Communications, Public Relations and Marketing Management:

  • Develops and implements marketing strategies in CUMIRP. Designs and oversees preparation of promotional literature including editing, layout and publishing of materials for the Center.
  • Oversees CUMIRP website including layout, content, and programming (Drupal) and evaluates effectiveness of the site.
  • Oversees correspondence, memoranda and reports required for industry sponsors, the University, and the Director for internal and external contacts.

Customer Visits and Conference Planning/Coordination:

  • Implements all arrangements for current members, research sponsors, and potential Industrial client visits.
  • Plans and coordinates two biannual symposia co-hosted by CUMIRP and the Polymer Science & Engineering (PSE) Department. Conference arrangements include establishing conference agenda for two to three-day program, creating and implementing online registration for attendees, overseeing all arrangements for appropriate venues for meetings/social events and communication of entire event with industry sponsors and University participants. Ensures for cost-effectiveness of the various functions.
  • Event coordination also includes oversight and facilitating production of student/post doc/faculty posters with accompanying documentation for guest attendees.

Records Maintenance:

  • Maintains all Center fiscal records, including implementing and managing internal financial and accounting systems, policies, and procedures.
  • Works with faculty to identify and resolve budget and compliance issues and reporting requirements.
  • Responsible for policy compliance, reporting, and cash flow analysis for day-to-day operations of Center and for existing sponsored research programs.

Other Functions

  • Works collaboratively and effectively to promote teamwork, diversity, equality and inclusiveness.
  • Work in partnership with colleagues within the College of Natural Sciences (CNS) community and across the campus to support the Dean’s strategic priorities.
  • Performs other duties as assigned in support of the mission and goals of the College of Natural Sciences.

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Bachelor’s Degree in accounting or STEM field and three to five (3-5) years of relevant experience.
  • Ability to plan and initiate workflow and to work autonomously with minimal direction. Ability to exercise independent judgment and decision making on all business management matters and to solve problems and implement new systems.
  • Ability to communicate and interact effectively and work collaboratively within a diverse environment, including faculty, staff, students, administration, and outside parties from other universities and industry.
  • Excellent spreadsheet skills relating to collection and integration of data into spreadsheets to provide up-to-date and accurate grant information to Principal Investigators and Industry sponsors and to monitor the flow of funds and expenditures.

Preferred Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Masters degree.
  • Knowledge of the University’s financial, human resources, and grant administration systems is strongly preferred, including operating knowledge of Peoplesoft, Buyways, Summit and Kuali.
  • Willingness to learn more technology skills to improve efficiency of financial and reporting operation.

Work Schedule

  • 37.5 hours per week.
  • Required to work some evenings and weekends.
