Job Summary

The Program Coordinator provides a broad array of administrative and program support for two key Davis Center initiatives: Outreach and Public Engagement and the Program on Georgian Studies. This position has a dual reporting relationship to both the Davis Center's Associate Director and Director of the Program on Georgian Studies.

Position Description

Event Logistics

In collaboration with Associate Director and Director of the Georgian Studies Program, brainstorm event content and strategies for successful execution. Arrange and secure event and space needs: meetings rooms, media/tech, cleaning, security, catering and meals, supplies, parking services; draft correspondance and invitations; arrange travel and accommodations; and provide onsite event management.

Program Development and Implementation

Support the Director of Georgian Studies in supporting a new research initiative that includes academic and research activities, student support, events, and scholar-exchange programs. Provide administrative support to the program director: organize materials, schedule planning meetings with Harvard collaborators, track activities, and manage workflow; support efforts to bring Georgian students and scholars to Harvard each semester; logistical planning for J-term trips to Georgia for Harvard students; help to plan and execute academic and cultural events.

Support the Associate Director in designing and implementing outreach programming targeting K-14 educators and students and the general public, including seminars, lectures, teacher workshops, film screenings, book talks, and exhibits. Support the implementation of the Engaging Eurasia Teacher Fellowship program inlcuding monthly webinars and annual in-person programming and the annual Global Studies Outreach Conference (including collaborations across Harvard’s regional centers).

With the Davis Center Event Planner, support the development and execution of events via Zoom and YouTube; support speakers in the use of digital platforms; remain up to date on advances in digital event production and maintain documentation on best practices for Davis Center training purposes.

Organize logistics for internal meetings and networking and community-building activities for the Davis Center community.

Responsible for managing the financial aspects of program administration: communicate financial policies and procedures to invited guests, review and process requests for reimbursement, honoraria, and invoice payments; track expenses against established budgets; track and provide information in support of grants.

Responsible for a variety of communications related activities including administration of program websites; entering event listings on Davis Center website and MailChimp; and other event and program related publicity.

Assist with development initiatives for both Georgian Studies and Outreach programming: preparation of grant proposals and donor stewardship reports; data gathering and creation of data visualizations for grant proposals and grant reporting.

Other: Work collaboratively with Davis Center colleagues to execute other program activities as needed; provide front desk coverage when needed; other duties and responsibilities in support of Davis Center activities as needed.


Basic Qualifications

3+ years’ relevant work experience; education may count towards experience. Experience working and/or living in Russia/Eurasia, or academic background in Russian/Eurasian Studies.

Additional Qualifications and Skills

Strong administrative, organizational, and problem-solving skills, with keen attention to detail. Familiarity with Zoom, FileMaker databases, Mail Chimp. High degree of comfort in learning new technology and willingness to be trained in the use of multi-media equipment and web platforms; experience with data projectors, presentation software and similar instruments. Good communication and interpersonal skills. Highly organized, flexible, and able to handle multiple tasks. Able to work independently with minimal supervision and to meet multiple deadlines in a busy office environment. Knowledge of Microsoft Office and Google Suite.


Working Conditions

This is a full-time, 35-hour-per-week position, working primarily 9 a.m.–5 p.m. Monday through Friday. The Davis Center expects that all full-time staff will work in the office 3- 4 days per week. Wednesday is an "anchor" day.


Overtime on weekends and evenings is expected during execution of program events.
