Program and Operations Coordinator

Primary Purpose:
Under general supervision, provides confidential administrative and operational coordination for OLLI@Pacific and Benerd College. Serve as a point of contact for University and external stakeholders, including current and inquiring continuing education students and OLLI members. May contribute support to event planning and production, serves as primary manager of OLLI office operations, and specific program logistics. Will have an acute knowledge of Benerd College and University of the Pacific policies, procedures and processes. This position reports directly to the Assistant Dean of Operations with dotted reporting to the OLLI Program Director.

Essential Functions:
  • Assists and coordinates non-credit programming operations through various avenues including both in-seat and distance education programs. Coordinates with faculty, student and administrative support for unit non-credit programs.
  • Serve as an initial point of contact for OLLI@Pacific. Manages office operations including answer telephones and assist with student, community, and membership inquiries.
  • Assist all telephone, email, and "walk in" program inquiries and direct as necessary.
  • Assist with the hiring and processing of instructors (EPAFs, etc.).
  • Performs administrative duties for an academic unit using working knowledge of policies, procedures, and practices in Benerd College and the University of the Pacific at large.
  • Monitors and maintains currency of OLLI@Pacific and Benerd College Outlook voice mail and facsimile inbox; oversees incoming and outgoing campus and US mail service including BC building mailbox.
  • Composes and prepares letters, correspondence, special reports, technical papers, presentations and email using standard software applications and in a form consistent with standard business practices.
  • Provides administrative support to managers and other staff with duties such as assembling instructor packets, tabulating evaluations, mailing student confirmations, making course confirmation/cancellation telephone calls, creating student folders, and distributing brochures.
  • Works with the administrative team on projects and office-wide tasks in either a support or lead role, depending on the nature of the project.
  • Provides records management and enrollment support to Benerd College and OLLI@Pacific.
  • Serves as primary operator and coordinator for department enrollment software including Banner, Axiom, and Destiny One.
  • Serves as lead cashier for OLLI office operations.
  • May serve as lead liaison with OLLI AND Benerd College partners,
  • Schedules and/or arranges meetings, travel, lodging for office personnel or visitors. Ensures reimbursements are made when appropriate.
  • Takes meeting minutes for review and/or distribution.
  • Assists in supervising volunteer activities which may include office assistants, lectures, courses, daytrips team leaders, special event teams, etc.
  • Supports OLLI and Benerd College marketing efforts, including social media and web site updates as needed.
  • Oversees office supply inventory and order supplies as needed. Manage office equipment service calls as needed.
  • Maintains a variety of departmental records both electronically and manually.
  • Coordinates department calendar of events and ensures office personnel are updated with current University information.
  • Recommends new procedures for streamlining administrative and operational duties or office functions.
  • Performs other related duties as assigned.

Minimum Qualifications:
  • Two years (2) of post high school education with a minimum of 36 units of completed coursework.
  • Three (3) years of work experience.



Preferred Qualifications:
  • Bachelors Degree.
  • Knowledge of Microsoft Access, MS SharePoint, Banner or PeopleAdmin, and other office software.
  • Experience supporting leadership in a highly diverse, interactive organization (especially in higher education).
  • Proficient use of current word-processing software such as: Word, PowerPoint, Excel, Internet and electronic email.
  • Knowledge of modern office methods, supplies and equipment that are adequate to successfully complete difficult and complex documents.
  • Experience and sensitivity in working with people of diverse backgrounds and cultures.
  • Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.
  • Ability to engage and integrate culturally responsive practices and knowledge in their work.

Duties require constant sitting and repetitive motion while using computer keyboard and phone. Frequent walking, standing and simple grasping. Occasional climbing stairs, walking across campus, stooping and reaching. Constant communication using both spoken and written means. May be required to lift/carry up to 25 lbs.

Work Environment/Work Week/Travel:
Work performed during standard business hours.

Hiring Range: $17.04 - $21.30 per hour. We consider factors such as, but not limited to, scope and responsibilities of the position, candidates qualifications, internal equity, as well as market and organizational considerations when extending an offer.
