JOB DESCRIPTION AND POSITION REQUIREMENTS:

Penn State Auxiliary & Business Services is seeking an individual to serve as the P re-Mail Services Coordinator with Penn State Multimedia and Print Center (MPC).

The Pre-Mail Services Coordinator will handle data production operations in mail services to ensure accurate address list preparation. Work assignments will be based on departmental production demands. This position will coordinate data editing and formatting to meet postal automation requirements and provide oversight of variable image/data merge printing services. Duties will also include but are not limited to non-bargaining unit machine operation, handwork, and administrative duties.

Job Duties:

  • Receive and accurately interpret job requirements as defined on the mail specification sheet and work order.
  • Operate software related to postal automation, and other operational applications. Notify appropriate IT resources to Install, maintain, upgrade, and update software and workstations as required to function at optimum levels.
  • Manage the National Change of Address (NCOA) process for address data files to meet U.S. Postal Service MOVE update requirements.
  • Import and export data in a variety of formats.
  • Create database with appropriate fields, and populate them with imported data.
  • Perform necessary steps to assign addresses and sort data to meet the requirements of the appropriate mail classification for particular mailings, or for use in print merge applications.
  • Produce all necessary USPS documentation specific to the requirements of mailings being processed.
  • Prepare print ready files for addressing to a variety of devices.
  • Produce peel-off labels and short-run letter quality addressed envelopes by operating a variety of matrix or laser printers.
  • Produce tray labels and tags as required by the specific mailing being processed.
  • Provide back-up coverage for any area within the responsibilities of the Premail Department including data entry and data collection.
  • Perform additional jobs as assigned by the manager.

Minimum Qualifications:

  • Demonstrated ability to accurately perform basic mathematical functions.
  • Ability to operate computers at an advanced level in a network environment, using both specialized applications as well as standard administrative applications such as e-mail and the Microsoft Office Suite of programs including Word, Excel Teams, Sharepoint, and OneDrive.

Preferred Qualifications:

  • Postal regulation knowledge.
  • Experience with variable data software programs.
  • Ability to use/write formulas for variable data and art mail merges.
  • Excellent interpersonal skills, possess strong customer service skills, a commitment to a collaborative team-based work environment, and possess strong verbal communication skills.
  • Demonstrated ability to exercise good judgment and the ability to work under pressure and take initiative.
  • Postal regulation knowledge.
  • Experience with variable data software programs.
  • Ability to use/write formulas for variable data and art mail merges.

Physical Demands:

  • Ability to work in a standing or sitting position for extended periods.
  • Must possess adequate vision to make judgments concerning the overall quality of finished products.

Work Type:

This is a full-time, year-round, benefits-eligible position. All candidates must be authorized to work in the US at the time of submission of the application.

Salary Range:

This is a Staff Non-exempt position. The offer rate will be based on a review of the candidate's credentials compared to the qualifications of the position, internal equity, and our overall compensation philosophy.

This job requires that you operate a motor vehicle as a part of your job duties. A valid US driver’s license and successful completion of a motor vehicle records check will be required in addition to standard background checks.
