How You'll Make a Difference:

Under the direct supervision of the Medical Director, the Clinical Office Manager is responsible for the planning, organizing and supervision of operational and clinical duties in the Clinic related to patient centered satisfaction, patient flow, efficiencies, and provider productivity. The Clinical Manager will be responsible for monitoring the day-to-day activities of the clinic site and is responsible for the direct supervision, outcomes and needed resources of the clinic staff. The Clinical Office Manager is responsible for assuring patients receive exemplary health care.

Essential Duties and Responsibilities:

  • Oversees the clinical and non-clinical operations for the site, ensuring compliance with established local, state and federal regulations and standards including quality assurance, confidentiality, and medical records documentation to ensure patients receive accessible, high quality, and efficient care
  • Oversees lab at clinic site to ensure all controls and regulations are met according to CLIA standards and polices for this agency and works with Laboratory Coordinator to maintain compliance
  • Oversee company's ongoing performance improvement program
  • Reviews and updates policies, protocols, and procedure manuals to ensure compliance with policies and accrediting agencies
  • Responsible for quality audits for clinical and administrative procedures of the clinic, reviewing weekly operational reports regarding productivity, no show and cancellation percentages, next available appointments, patient cycle times
  • Responsible for monitoring billing functions and completes reconciliation of daily deposits at the clinic site while ensuring sustained financial integrity and fiscal guidance and no discrepancies remain unresolved, etc
  • Responsible for clerical and clinical inventory and ordering of supplies/equipment according to purchasing policies, monitors utilization of supplies and oversees spending to assure budgets within limits
  • Communicate daily task assignments and develop agenda items and/or training information for scheduled team meetings Ability to maintain a working relationship with supervised staff and can discuss employee behaviors and performance in a professional and supportive manner and to follow discipline procedures as necessary
  • Develop schedule for staff, ensuring adequate staffing and clinic productivity, at times performing medical assistant or front desk tasks when the need arises
  • Evaluate staffing needs and assist with hiring process by screening, interview, hiring and training staff as needed
  • Serves as the first point of contact for patient complaints and insurance plan grievances

Qualifications/Skills:


  • Associate in healthcare-related field, or significant experience in the field in lieu of education
  • 3+ years of medical office management/clinical services experience
  • MA/CMA certification
  • MGMA certification preferred
  • 1+ years of phlebotomy and lab work experience
  • Strong knowledge of medical terminology, Infection Control Practices
  • Knowledge of HIPAA privacy requirements
  • Ability to multitask and work in a fast-paced environment
  • Ability to work independently and as a part of a team with excellent verbal and written communication and interpersonal skills
