This job will be performed at our main office, located in White River Junction, Vermont, 72 South Main Street.

Scope of Job

The Role of the Payroll Specialist is to process bi-weekly payrolls for multiple non-profit Agencies. Maintain employee time records, and to assist the Payroll/Benefits Supervisor with tasks as assigned. A Payroll Specialist is able to use payroll software with accuracy and efficiency. They are very detail-oriented and good with numbers and can be trusted with sensitive information. They have great communication skills to interact with colleagues and executives. The goal is to ensure personnel receives the correct compensation in a timely manner.

Qualifications and Skills Level:

  • Strong of payroll or accounting background or related field
  • Familiarity with Accounting principles
  • Effective communication
  • Develop and Maintain positive relationships with Customers, Agencies and Employees
  • Ability to Maintain Confidentiality

Additional Requirements;

  • Basic Knowledge of Generally Accepted Accounting Principles and be able to perform basic accounting functions.
  • Experience should include an understanding of Federal & State Payroll Tax withholdings, benefit deductions, and garnishments.
  • Receive and respond to pay-related inquiries and issues using discretion while communicating with employees and their supervisors.
  • Excellent Organizational skills and attention to detail.
  • Proficient with or ability to quickly learn payroll software.
  • Maintain a professional/ respectful appearance and attitude and always represent the Company in such a manner.
  • Must be discreet with confidential information.

Duties and Key Responsibilities

Essential Job Functions:

  • Enters, maintains and/or processes information in the payroll system; information may include employee hourly rates, salaries, bonuses or other compensations, time worked, deductions and withholding, address change and other information.
  • Enters, maintains and/or process information into the Company Mileage software; information may include setting up and terminating access to employees, address changes. Pulling data for payroll.
  • Ensures proper processing of payroll deductions for taxes, benefits, and other deductions.
  • Reconciles payroll to monthly insurance invoices.
  • Issues, or reissues, physical or replacement checks or direct deposits due to payroll errors or final discharge.
  • Monthly reporting to State Agencies.

This position requires physical presence at the primary location in White River Junction, Vermont, 72 South Main Street.
