Summary:
The Accounting & Payroll Assistant serves as an integral part of the Accounting team by providing technical and analytical payroll and accounting expertise to a busy retail/c-store environment. This position is responsible to support the management and execution of payroll administration and Accounts Payable procedures to support assigned businesses under the Toot’n Totum family of companies.

Essential Duties & Responsibilities:
- Receives and verifies credit card expense reports; reconciles expenses and other financial reports with account balances.
- Facilitates payment of vendors, which may include verification of Federal ID numbers, reviewing purchase orders and resolving discrepancies.
- Ensures outstanding obligations are credited upon payment, identifies discount opportunities and issues purchase order amendments or stop-payment orders as needed.
- Assists with Accounting records and ledgers by reconciling monthly statements and transactions.
- Calculates and accrues sales tax based on vendor invoices.
- Enters, maintains and processes information in the payroll system; information includes Team Member hourly rates, salaries, bonuses, other variable compensation, time worked, paid leave and holidays, deductions and withholdings, addresses changes and various Team Member related payroll information.
- Ensures proper processing of payroll deductions for taxes, benefits, charitable contributions and other deductions.
- Issues, or reissues, physical or replacement checks and direct deposits due to payroll errors and final discharge.
- Ensures federal and state payroll tax deposits have been made by OSV.
- Maintains knowledge of and ensures compliance with tax and payroll laws at a federal and state level.
- Supports and facilitates organizational changes, continuous improvement and communication.
- Establishes and fosters relationships with management and all team members that will enable the Accounting function to be viewed as an integral part of the business.

- Proficient with Microsoft Office Suite.
- Experience using Workday HRIS (Payroll) preferred but not required.
- Requires rapid and thorough decision making and creative problem-solving skills, good judgment as well as the ability to accept personal accountability for areas of responsibility.
Education & Experience:
- High School Diploma or equivalent is required;
- A minimum of two years’ experience OR
- Equivalent combination of education and/or work experience
- Certified Accounts Payable Professional (CAPP) or Certified Payroll Professional (CPP), preferred but not required.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift 15 pounds at time.
- Must be able to access and navigate each department at the organization’s facilities.
