A Patient Access Coordinator serves as a lead point of contact for the division(s) and external patients to ensure easy and seamless access to the respective outpatient hospital service areas. As the lead of the area, ensures:

  • Completes daily referral requests and prior authorization for medications, including biologic injectable medications and procedures.
  • Communicate with patients and specialist offices and/or facilities when appropriate.
  • Assist with answering incoming calls/messages. Schedule patient appointments.
  • Maintains accurate referral/prior authorization information and tracks accordingly.
  • Manage, initiate and resolve patient referral tasks in AECIS, making patient appointments and ensuring patient concerns are addressed timely.
  • Provide support to physicians and staff.
  • Timely check in/check out of patients with accurate registration, scheduling and point of service collection of payments.
  • Ensures patient demographic and insurance information is accurately collected and that patients are aware of hospital policies and procedures. Views and tracks patient check in activity in Phreesia prior to appointment.
  • Provide excellent customer service and follows all department policies.
  • Reviews Cerner message pools daily and responds appropriately and takes necessary action within required timeframe.
  • Assist the team with WQM pool and routing messages to appropriate providers/staff. Handles correspondence per practice protocol.
  • Assist manager with any administrative responsibilities as needed.
  • Handles complex requests through various channels while utilizing numerous databases simultaneously.
  • Assist manager with iPas and Phreesia reports.
  • Identify and report ongoing issues and possible resolutions.
  • Serves as a resource to staff in issues regarding insurance prior authorization guidelines, regulatory requirements.
  • Facilitate the work of the responsible area and assess a situation and make appropriate decision.
  • Coordinate and ensure adherence to financial and registration policies affecting the Revenue Cycle and Patient Access. Maintain open communication with various departments and leaders.
  • Works as an integral part of the team to ensure a positive patient experience.
  • Other duties as assigned.

Education/Training/Experience:

  • High School diploma or equivalent required.
  • 3-5 years of Patient Access or Patient Accounting experience required
  • 1-3 years of those experience in a lead role preferred
  • Experience and/or knowledge of most insurances and requirements for referrals and pre-certifications is preferred.
  • Knowledge of medical / imaging terminology required
  • Demonstrated excellent customer service skills
