Job Title: Participant Success Coordinator
Reports to: Director of Participant Success
Location: Fort Collins (on-site) / Hybrid / Remote (within U.S.); Based in Fort Collins or Northern Colorado is preferred
FLSA Status: Non-exempt, regular full-time
Schedule: Monday - Friday (30-40 hours per week)
Salary Range: Typical starting range for a new employee in this role is $20.00 to $22.00/hour

Organization Description
Established in 1963, the Institute for Shipboard Education (ISE) is a 501(c) non-profit organization. In collaboration with academic partner Colorado State University, ISE delivers the Semester at Sea® (SAS) program, one of the longest operating higher education study abroad programs. Semester at Sea® provides its students a global comparative education through classroom and experiential learning in the field. The Semester at Sea® floating campus, the MV World Odyssey, carries around 550 students plus faculty, staff, and others. The duration of the semester voyage is typically 105 days, including visits to 8- 10 countries. ISE conducts two semester voyages annually and additional alumni travel programs. Position Description
The Participant Success Coordinator will serve as the in-house travel visa expert. The Coordinator will research required visas for all participants on Semester at Sea voyages and produce all resource materials and guidance to support participants in obtaining necessary visas. They will provide direct assistance to all Davis Scholars (international scholarship recipients) including visa advising, arranging travel and providing support throughout the voyage preparation process. This person will audit the visa status for all participants and provide reports to the Director of Participant Success.

Essential Duties and Responsibilities
The individual in this position must be able to perform the essential duties and responsibilities with or without reasonable accommodation:
  • Understand visa application timelines and requirements, as well as passport requirements, as they pertain to all voyagers
  • Create a written visa application guide for US passport holders for each voyage
  • Write and/or propose all visa-related updates to be shared in the voyager portals, pre-departure emails and webinars
  • Research visa requirements, make recommendations on steps in the visa application process, and provide support resources for non-U.S. passport holder participants
  • Develop all necessary supporting documents for visa applications (i.e. consulate letters, passage tickets, insurance letters)
  • Advise enrollment and hiring managers on potential international participants’ visa requirements
  • Take incoming calls and respond to emails from voyagers with all voyage preparation questions
  • Track and audit participants’ visa status before each voyage
  • Primary support person for Davis scholars preparing for the voyage (travel arrangements, visas, passports, etc)
  • Research visa requirements for proposed draft itineraries; advise the home office Senior Leadership Team on potential visa issues and implications of itineraries
  • Manage the Semester at Sea Interport Student Program
  • Prepare briefing for Voyage Leadership Team and Chief Purser about potential or confirmed visa complications during their voyage

Minimum Qualifications and Skills
  • Bachelor’s degree
  • Two or more years’ experience working in customer service, student advising, study abroad, or international programs
  • Excellent communication and organization skills
  • High degree of resourcefulness and initiative
  • High degree of comfort and proficiency with technology; prior experience with CRM management a plus
  • Excellent customer service skills
  • Flexibility, open-mindedness, team player mentality, and a positive attitude
  • Support the mission of ISE; reflecting ISE values, candidates are expected to have the ability to advance the SAS commitment to diversity and inclusion
Preferred Qualifications and Skills
  • Prior participation in the Semester at Sea program and/or another international learning experience (direct university enrollment, internship, faculty-led, service learning, etc.)
  • Experience supporting international students

Working Conditions
  • This is a full-time (30-40 hours/week) position. Days of work are Monday through Friday
  • Occasional evening and weekend work may be required as job duties demand
  • This position requires work performed in an office environment
  • Travel domestically and internationally may be required. Travel may include time spent on a moving ship in the ocean, with little to no internet access at times

Physical Requirements of the Job
  • The majority of work time requires sitting, bending at neck, waist, legs and arms; twisting body; and changing positions at will. Occasional standing, walking, stooping, bending, kneeling, and reaching
  • Requires repetitive motions with hands and fingers such as keyboarding, use of telephones, cell phones, etc.
  • Requires close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to focus
  • Work requires close attention to detail and accuracy and varies in nature with periodic interruptions
  • Computer and phone work at a desk for majority of the day
