The Office of the Vice President, General Counsel and Secretary at
Oberlin College invites applications for the position of
Paralegal & Executive Assistant. This is a 12-month, continuing, Administrative and Professional Support position reporting to the Vice President, General Counsel and Secretary of the College and working closely with the other members of the Office of the General Counsel.
Responsibilities
The incumbent is responsible for providing paralegal/legal assistant support to the Office of General Counsel and executive level administrative support to the Vice President, General Counsel and Secretary. Specific responsibilities include the following.
Legal and Compliance Support
- Creates and manages litigation calendar and litigation holds
- Coordinates College responses to subpoenas, discovery requests, and agency complaints
- Coordinates with outside counsel
- Conducts project management, research and benchmarking
- Coordinates with the Assistant Vice President for Operations and Risk Management to monitor campus-wide compliance and reporting obligations
- Coordinates with other offices to respond to inquiries from insurance carriers
- Assists with the legal/compliance portions of employee orientations
- Manages conflict of interest processes
- Reviews appeals of trespass orders
Executive Admin Support to the VP, GC & Secretary
- Assists the VP, GC & Secretary through schedule and calendar coordination, meeting scheduling and preparation, file management, counseling/decision-making, setting goals, and identifying issues for discussion.
- Manages the sharing of information among the executive leadership team; manages personnel related correspondence.
- Develops and creates material including assistance with reports, briefings, presentations and responses on institutional and strategic issues; ensures timely submission of agendas and materials for meetings; and facilitates appropriate meeting follow-up.
- Assists with special projects as assigned.
- Manages travel logistics for the VP, GC & Secretary.
Coordination regarding Faculty Councils Facilitated by
OGC
- Coordinates faculty council meetings, manages communications, and prepares meeting minutes
- Maintains the Faculty Guide and supports related internal administrative hearings
- Manages faculty committee elections and assignments

Required Qualifications
- Bachelor’s degree; excellent oral and written communication skills with attention to accuracy and detail;
- 3-5 years of relevant professional experience as a legal assistant, paralegal, or office manager preferably in a law firm or in an in-house corporate legal department;
- experience demonstrating ability to work well with diverse populations, including high-level officials in academic setting;
- demonstrated ability to handle multiple projects simultaneously, respond to pressures, deadlines and changes in priorities or schedules;
- experience with extensive record-keeping and maintenance of highly confidential files;
- expertise with standard office machines and software, including Excel, PowerPoint, Adobe Acrobat, Microsoft Office, and comparable applications;
- and favorable references and evaluations.
Desired Qualifications
Executive administration experience.
Compensation
Salary will be commensurate with qualifications and experience; the position includes an excellent benefits package and generous PTO.
