At Clinical Associates, we make being healthy easier. We connect our patients to a seamless system of integrated medical care, which includes in-house specialists in 10 areas of practice, from cardiology to podiatry. We also offer unique services like our ambulatory surgery center and nuclear stress testing facility.
Our more than 50 physicians, specialists and credentialed health care providers are assisted by 175 trained support staff. We do our best to take care of everything for our patients – records, scheduling appointments, coordinating with providers and specialists, and each of our offices has laboratory centers for tests and blood work on site.
Working in conjunction with the CEO, the Operations Manager will oversee the administrative functioning of the Organization. The Ops Manager will provide direction and support to the Site and Department Managers who will directly report to this individual. The Operations Manager will identify and be responsible for addressing concerns that impede patient access to providers, reduce Organizational productivity, or disrupt or deviate the course from established Organizational protocols. The Operations Manager will provide a presence and be available as needed at all locations. The role entails assessment of staff acumen and the development of policies and procedures that focus on the enrichment of the provider, staff and patient experience. Analysis and creation of initiatives for administrative Key Performance Indicators will be in the purview of the role for all departments and sites. The Operations Manager will be responsible for a review of site and departmental financials monthly, quarterly, and annually. This role is key in the culture of One Clinical Associates.
WHAT YOU WILL DO:
- Serves as the facilitator for operational issues at the Clinical Associates sites and departments
- Resolves operational issues and impediments to productivity and successful workflow within the sites or departments
- Disseminates resources including staffing, training, and provider support as needed to serve the best interest of the Organization as a whole
- Identifies impediments to productivity and patient care and assists with the development and implementation of solutions to outstanding concerns
- Conducts touch bases and meetings with managers to address concerns and review established baseline for volumes, financials, and provider related issues
- Tracks the completion of initiatives and expectations, such as annual budgets, schedule maximization, and operational KPIs
- Ensures that best practices are followed and sites and departments are compliant with Organizational administrative and financial protocols
- Provides fiscally responsible oversight of costs
- Maintains communication with all managers and is available to discuss concerns and opportunities
- Collaborates with Managers to adhere to the operating budget and financial goals of the Organization
- Provides concise and accurate reporting to CEO of the administrative and operational occurrences
- Corrects variations to protocols and ensures that standardization is maintained throughout the Organization
- Participates and actively contributes to strategic decision making activities
- Works cross functionally with Finance and Marketing to develop, execute, and track strategic initiatives
- Performs other duties as assigned.
WHAT YOU WILL BRING:
- Proficient in Microsoft Office Suite; Microsoft Word, Excel, PowerPoint, and the EHR (preferably Next Gen)
- Experience with managing staff in a healthcare environment
- Excellent verbal and written communication skills
- Exceptional organizational skills and attention to detail
- Time management skills with a proven ability to meet deadlines
- Ability to facilitate discussions with and amongst reports
- Ability to work independently and as a member of the team
- Bachelors’ degree or commiserate experience
- Experience in a Healthcare leadership or management preferred
- At least five years of experience in management
