Who We Need
Copa Health is hiring a Officer Manager to join our Integrated Outpatient clinic in Murray. The Office Manager will work closely with the Program Director of the outpatient program. This position is responsible for the operations of the non-clinical aspects of the outpatient site. Interviews, trains, and supervises the front office support staff. Performs work of considerable difficulty with a wide variety of administrative duties under the general supervision of the Program Director. Plans, coordinates, assigns, and reviews the work of the support staff and coordinates this work with the clinical staff. Conducts periodic operational reviews, develops action plans, and assists the Program Director in assessing the status of the operational process, projects and issues important information to the professional operation of the site.
Duties & Responsibilities:
- Responsible for the facilitation of client admissions, scheduling of treatment sessions and maintaining clinical records.
- Serve as the point if contact for employees and people we serve.
- Collaborate with clinical staff and providers to ensure optimal client care.
- Generates confidential reports and manages tracking logs using both manual and computerized processes for various clinical administrative requirements.
- Enters and maintains client data including re-openings, closures, transfers, caseload changes and affiliation of staff to the site.
- Schedules blockages for medical staff in scheduling system and manages co-pay reconciliation.
- Assures site is compliant with safety and licensing standards (e.g., all proper forms are posted, chart order is maintained, fire inspections, etc.).
- Assists with requests for information about clinical policy and procedures, with regards to clinical records, client statistics and office operations. Assures the security and confidentiality of consumer and proprietary records.
- Prepares internal quality assurance reports for the Program Director.
- Completes the Office Manager Monthly Operating Report (OMMOR) and Site productivity reports in a timely manner and meets with the Program Director to develop a working agenda for process improvement on a monthly basis.
- Participate in quality assurance initiatives as required.
- Responsible for the supervision of staff including recruitment, hiring, training, performance. management, and completion of performance reviews.
- Maintains and budgets supply inventory for the site.
- To ensure compliance & adequate services, additional job duties may be required to meet the needs of the program and or department.
Minimum Requirements:
Education:
- High School Diploma/GED required.
- Associates Degree in Business Administration or Office Technology preferred.
Experience: Five (5) to eight (8) years’ experience in office clerical setting, with one (1) or more years of
supervisor experience. Medical and/or Behavioral health experience preferred.
Computer Skills: Proficiency in typing, using computer software, i.e., EHR/EMR systems, Word, Excel, and
PowerPoint and Internet is essential.
Required: Valid UT Drivers’ License.
