Hours: Monday – Friday: 8:00 am – 4:30 pm. Every other Friday off at noon.
EDUCATION:
High school diploma required. Additional education preferred.
Education in the healthcare industry a plus.
EXPERIENCE:
Office Experience: 2 years required, preferred in healthcare industry.
Customer Service: 1 year preferred.
QUALIFICATIONS:
Professional demeanor required.
Must be reliable, dependable and on time!
Great phone voice. Answer phones and route calls to appropriate personnel.
Outgoing personality, a real “go getter” with a “positive attitude”.
Detail oriented, able to multi-task and very organized.
Excellent verbal and written communication skills.
Must type minimum 45 wpm with 80% accuracy. (typing test required)
Must be able to handle up to 7 multi-phone lines.
Adapt quickly to change.
Work well with others.
Must respect all visitors, management, staff, clients & their families.
Must have subtle skills when handling a client or family member who may be upset or
have concerns.
Your tone of voice and words are the only judgement the person on the other end of the phone has to determine how much our company cares & how we will handle their concerns.
These skills can lead to client retention or acquiring a new client. This also applies to other
companies, vendors & all incoming calls.
Must agree to preserve the confidentiality of all clients, their families &/or any other
sensitive information regarding management, employees, company information, etc.
Must have dependable transportation and child care.
JOB FUNCTIONS / RESPONSIBILITIES:

Employees are not
allowed to breach chain of command, which would be a violation of company policy.
The Office Assistant is responsible for adding/editing time in company systems as needed.
Correcting blocked times and prior day’s records with end times.
Must conduct Geo-Mapping on weekly basis to ensure that DSW’s are at work.
Filing, coping, faxing, and basic computer skills. (Such as: Word, Emails, Scanning, etc.)
LARGE AMOUNT OF SCANNING REQUIRED.
Enter time sheets & printing time reports in company systems.
Filing & scanning client, employee documents, time sheets, service logs &/or progress notes.
All required documents MUST BE SCANNED by Friday AM.
Envelope stuffing & issuing checks. Ensure all staff sign out when picking up checks.
You will be a part of our team, therefore, you may be asked to attend & assist in fun
community functions, such as: trade shows, fairs or other company events along with
other office personnel. You are responsible for maintaining cleanliness of lobby and lobby
restroom, vacuum floors daily & wet mop every other Friday (full-day).
Responsible for making coffee, keeping coffee area clean, keeping refrigerator stocked at all
times.
Notify management when supplies are running low: Paper, coffee, cups, cream, sugar,
bottled water, toilet paper, paper towels, cleaning supplies, etc.
Run company errands as needed.
Immediately report any indication of a potential issue developing.
Any other office duties requested by management.
