We are looking for an experienced Office Administrator to join our dynamic team at a home remodeling company! We are seeking a detail-oriented, organized individual capable of managing multiple tasks in a fast-paced environment.
Responsibilities:
- Answer and direct incoming calls and emails
- Greet and assist visitors to the office
- Schedule appointments and meetings for the team
- Organize and maintain files and records, ensuring digital copies are saved
- Mailing and filing documents
- Prepare and distribute invoices, quotes, and other documents
- Assist in the preparation of project proposals and contracts
- Coordinate with vendors and suppliers
- Order and maintain office supplies and equipment
- Perform general administrative tasks as needed
- Follow up with customers to ensure satisfaction
- Act as customer service for service calls, scheduling and dispatching personnel as needed
- Communicate with customers to understand their requirements
- Enter data into the company's database
- Dispatch personnel to projects and ensure follow-up and completion of work
- Maintain regular communication with contractors and designers to keep track of project status
Requirements:
- High school diploma or equivalent
- 2+ years of experience in an administrative role, preferably in the home remodeling industry
- Strong organizational and time management skills
- Excellent communication and interpersonal skills
- Proficient in Microsoft Office and other software programs
- Ability to work independently and collaboratively in a team environment
- Knowledge of basic accounting and bookkeeping principles is a plus
- Working 8 hours a day in the office
