Job Summary
The DNR is seeking to fill a permanent, full-time administrative support position at Gooseberry Falls State Park in Two Harbors, MN. This position will work Monday through Friday, from 8:00 am to 4:30 pm, and will provide customer service, office management, administrative support, and clerical services for Gooseberry Falls State Park.
Responsibilities include:
- Provide office management functions and administrative assistance to Park Management, Retail Operations Supervisor, and other park staff.
- Prepare all purchasing documents and process payments for the park from the Operations, Nature Store, Gift, Naturalist, and other accounts to ensure accuracy without exceeding budget allocations and spending parameters established by the Park Manager. Keep park management informed on the status of various budgets and perform projections of expenditures.
- Monitor and/or accomplish all daily and weekly income reconciliation, reporting, and preparation of bank deposits for the park. Preserve accountability for all vehicle permits, ski passes, and other numbered forms issued from Central Office.
- Provide support for phone, network, and computer systems. Help track status of park hardware, software, and network infrastructure.
- Provide information and assistance to the general public on park operations. Register campers, sell vehicle permits, merchandise and other items, and administer reservation systems for picnic shelter use and campsite reservations.
- Provide leadership for office and other staff on fiscal and administrative matters, including developing procedures, training staff, and consulting with management in order to comply with state statutes and fiscal rules
Qualifications
Minimum Qualifications
Knowledge of:
- Customer service practices and principles sufficient to identify each customer’s needs, meet quality standards for services, and evaluate customer satisfaction.
- Word processing sufficient to use software to create, format, edit, print, and save a variety of documents, including spreadsheets and tables.
Skills in:
- Fiscal and accounting sufficient to purchase and receive goods, receipt goods against purchase orders, and process invoices and payments to vendors.
- Use software, such as Microsoft Excel and Word, to type and format letters, memos, reports, and minutes of meetings.
- Calculate, prepare, and issue bills, invoices, account statements, and other financial statements according to established procedures.
- Provide prompt, courteous, and accurate information to customers in person, on the phone, and through e-mail and other written correspondence.
- Interpret and explain program information to applicants, such as eligibility requirements, application details, and payment methods.
Ability to:
- Use customer skills on the phone, in person, and online to provide effective general and specialized office support.
- Interpret and explain accounting and related fiscal policies, procedures, and practices to customers.
- Explain laws, rules, regulations, standards, policies, and procedures to customers.
- Read, write, and speak English sufficient to perform the duties listed above.
Preferred Qualifications
- Two years of general office experience.
- Knowledge of Minnesota State Parks programs, policies, rules, and facilities.
- Current Local Purchasing Authority certification
- One year of experience using SWIFT.
- Experience using Microsoft Word, Excel, and Outlook software.
- Work experience being a lead worker.
Physical Requirements
Medium Work - Occasionally lifting such articles as file boxes and heavy hand tools or heavier materials with help from others and/or lifting and carrying light objects frequently. Even though the weights being lifted may only be a negligible amount, a job is in this category may require walking or standing to a significant degree or may involve sitting most of the time with a degree of pushing and pulling of arm and/or leg controls.
