The Role

The Multidisciplinary Team and Clinical Support Supervisor provides administrative support to the Clackamas County Multidisciplinary Team (MDT) to promote an active systemwide, coordinated approach to child abuse investigation, assessment, intervention, and prosecution in Clackamas County (50% of time) and is responsible for the workflow and staffing in the front reception area of the Clinic. This position supervises the Clinical Support Staff and serves as the record custodian (50% of time). This position is an employee of Children’s Center but also works closely with the Clackamas County District Attorney’s office and the MDT Chair/First Assistant District Attorney.

Essential Functions and Responsibilities:


Child Abuse MDT Coordination (50%)


Responsible for attending MDT meetings, developing agendas, taking minutes, distributing information, etc.

Assists in developing budget for review by MDT, completes fiscal record keeping & monitors expenditures. Works with DA Financial Analyst to monitor expenditures and prepare financial reports.

Assists in development and coordination of training activities for MDT.

Attends MDT sub-committee meetings and assists with follow through in fulfilling goals and objectives.

Monitors child abuse legislation.

Assists in developing protocols and procedures for MDT.

Assists & coordinates with HBB Clinical Outreach Coordinator on referrals, reports, agendas, and data collection.

Responsible for grant proposals and semiannual reports for MDT & other reports as needed.

Coordinates and tracks MDT data on progress from assessment to prosecution for reporting to county partners, state and/or others as requested.

Coordinates Quarterly Child Fatality Review meetings, agenda, materials to partners, and reporting to National Child Review Case Reporting System.


Clinic Support Supervision and Records Custodian (50%)

Ensures that Clinical Support Staff are trained and proficient in clinic procedures and associated technology platforms.

Assists Clinical team in developing and maintaining relevant clinical policies and procedures.

Supervises the Clinical Support Staff.

Provides clinic support services when the CSC is not available, which includes (but is not limited to) greeting and registration of patients, answering phone call, entering data, supervising children in the waiting room, and creating patient charts and final reports.

Oversees insurance billing for therapy program clinicians and clients.


Records Custodian duties:

Assists in developing and maintaining policies, protocols, and procedures related to record keeping and release per the related statutes.

Works with contracted attorney to ensure Children's Center is in line with records storage and release.

Prepares and mails medical records as requested, and documents release of records in database.

Collaborates as needed with the Executive Director/HIPAA Security Officer and Clinical Supervisors.

Keeps up to date on records custodian guidance and releases records in accordance with Children’s Center procedures and guidelines.

Serves as primary point of contact for all records subpoenas.

Participates in the development of Children’s Center’s record guidelines; regularly adjusts workflow and processes to be current with Children’s Center procedures, guidelines, and best practices.

Vidanyx administrator, which includes uploading and sharing files with partners, creating new contacts, and managing associated issues with the system.

What We Prefer:

Experience with project coordination.

Supervisory experience (two years or more).

Comfortable with communicating policies and procedures to multiple audiences.

Experience with victim’s advocacy services and/or child protective services.

Knowledge and background in HIPAA and experience with using electronic databases and working with medical records.

Ability to quickly learn and integrate knowledge of changing legal policies and procedures related to Child Advocacy Center services and records.

Communication proficiency - oral & written, attention to detail, functional/technical capacity, organized, customer/client service focus, discretion, problem-solving, team player, manage multiple projects quickly and efficiently.
