The Marketing Administrator works as part of the larger marketing team to offer administrative support across the department. This role directly supports the Marketing Director and each of the sub teams on all administrative and operational duties. The Marketing department is a fast-paced, multi-faceted environment. The Marketing Administrator must have outstanding interpersonal skills who can multitask well and can manage people and priorities in a group environment. This person is also responsible for providing various administrative tasks for the team as well as be the go-to person for the department.
Responsibilities:
  • Act as lead office administrator providing support to the Director of Marketing and Advertising
  • Provide support to the entire marketing team daily as needed
  • Process invoices with Accounting; track expenditures and budget reporting for the department
  • Act as building manager – manage requests, mitigate issues as needed
  • Assist with personnel changeover – onboarding new hires and off-boarding
  • Manage all correspondence for all co-op invoicing and agreements with accounting
  • Work in a highly collaborative environment across all levels of the organization, but reflecting a level of independence to take initiative and move projects forward
  • Plan, coordinate, and schedule meetings, appointments, calendars, events, activities, etc.
  • Coordinate food and beverage requests for meetings and/or events
  • Handle logistics for on/off-site events and other tasks as needed
  • Assist marketing managers with Divvy card expense reports as requested
  • Facilitate travel expenditure reports as requested
  • Act as a liaison between multiple vendors and departments – internally and externally
  • Organize and manage incoming and outgoing packages to vendors
  • Maintain and track office supplies, and promotional material inventory
  • Support printing and shipping of projects executed by Marketing Department
Qualifications:
  • Minimum of 3-5 years of administrative experience supporting senior executives
  • Associate’s or Bachelor’s degree preferred but not required
  • Experience overseeing and administering invoicing, accounts payable, and managing budgets required
  • Capacity to work autonomously as well as collaboratively in a team environment. A strong team orientation is critical based on collaborative culture of the department and GRV as a company
  • Strong organizational skills, attention to detail, and ability to work well under pressure in order to hit deadlines
  • Ability to engage with and create relationships across business partners, vendors, and stakeholders
  • Requires strong written and verbal communication skills and a keen eye for detail
  • Requires excellent critical thinking and problem-solving skills
  • Excellent organizational and time management skills
  • Ability to prioritize and follow up on tasks efficiently and independently
