The Mission of the Idaho Department of Correction (IDOC) is to create a model correctional system that provides equitable access to programming and opportunities that reflect a community experience, foster connections, and restore victims of crime.
The Idaho Department of Correction is currently recruiting for a Management Assistant. This position will fill a vacancy located in Boise, Idaho, with the division of Management Services. The incumbent will provide administrative support to Management Services leadership; hire, train, and supervise one administrative assistant; address Central Office maintenance issues; manage Central Office vehicle fleet; coordinate activities with other Management Assistants and support Management Services staff.

Example of Duties

  • Perform a variety of administrative duties to enable the Division leadership team to function more effectively such as email sorting, booking meetings or travel, reconciling travel reimbursements, and ordering office supplies.
  • Manage the central services such as reception, maintenance, mail, cleaning, repairs, waste disposal, courier and recycling.
  • Draft correspondence and presentations, take and/or transcribe meeting minutes
  • May respond to sensitive or controversial issues from staff, residents and families of residents
  • Assist the contract and purchasing teams with post-award contract administration functions such as document management, filing, responding to concern forms, entering requisitions.
  • Assist the fiscal team on an as needed basis with various special projects.
  • Track the disposition of fixed assets and fleet, and conduct annual inventory at central office.
  • Complete annual building report for owned and leased buildings for the legislature.
  • Supervise and back up the administrative assistant 1, which is the reception position.

Minimum Qualifications

  • Experience: interpreting and applying regulations or policies and procedures
  • Experience planning, organizing, implementing, and evaluating special projects
  • Experience independently researching, compiling, developing and summarizing material for reports on a frequent or recurring basis
  • Experience analyzing information, identifying problems, defining alternatives and developing recommendations for management/administrators.

Supplemental Information

SPECIALTY REQUIREMENTS:

  • Good knowledge of computer applications
  • Experience composing official correspondence, reports, research papers, and other complex documents
HIRING INFORMATION:
To be hired, a candidate will have a history and background supportive of Department mission goals and will be subject to:
  • Completing a Background Investigation Questionnaire and pre-employment drug testing
  • Have a federal and state criminal background check to include fingerprints
  • Have a history of law-abiding behavior
  • Felonies, misdemeanors, illegal drug usage, DUI's, adverse driving convictions and employment history may make you ineligible for employment
Non-hiring restrictions are in place for candidates who:
  • Have been convicted of Domestic Violence or similar types of violent behaviors
  • Have a dishonorable discharge from military service
  • Currently are using, dealing, or are associated with illegal drugs
  • Have close friends or relatives under IDOC care & custody where the vacancy exists
  • Are currently under IDOC supervision or probation (must be released from IDOC supervision or probation for at least one year)
