Job Description

  • Builds and manages solid, effective working relationships with landlords, tenants, vendors, property owners, customers, business lines and real estate partners
  • Primary point of contact for property and lease related questions/ issues/requests/conflicts
  • Receives new lease and fee related documents. Verifies all required signatures have been obtained and all exhibits are attached
  • Uploads and posts new documents according to department policy
  • Coordinates the delivery of insurance certificates with our Corporate Insurance Department for new and existing leases (renewals)
  • Performs timely and accurate abstraction of pertinent lease data into a web-based real estate system within specified timelines
  • Performs timely and accurate system updates for CPI adjustments, lease changes, information, etc
  • Manages Lease Administration Affiliate Transactions by monitoring services provided by the Shared Services Lease & Tax unit and perform all functions as required by Key Performance Indicators (KPIs), including but not limited to: reporting monthly portfolio changes, the review and approval of lease abstractions and data modifications, and the review of payment files for proper application of payments (lease related charges as well as fees and real estate taxes on owned properties)
  • Performs quality control checks and ensure integrity of data contained in real estate database to provide accurate and reliable information and to mitigate risks to the business
  • Monitors critical lease dates in accordance with departmental procedures to avoid missed dates and potential risks to the bank
  • Prepares and delivers all lease notices as required by the lease (renewals, consents, compliance, defaults, etc,)
  • Prepares and delivers Estoppels, Subordination and Non-Disturbance Agreements in accordance with lease delivery requirements
  • Interprets and explains complex lease language/requirements. Escalates as necessary
  • Partners with Facility management to provide surrender, go dark and other critical lease requirements for lease
expirations/terminations; coordinate site turnover and act as a mediator to resolve any landlord/tenant disputes. Escalate as necessary
  • Processes and collects TI allowances and construction reimbursements in accordance with requirements of the lease
  • Resolves open construction violations with landlords as necessary
  • Assists with system related activities as required, including data scrubbing; report testing, system improvements, etc
  • Assists with department reporting requirements as required

Job Requirements

Must be eligible for employment under regulatory standards applicable to the position.
Bachelor's degree preferred or progressive work experience in addition to experience below
  • A minimum of 5 years as a Lease Administrator or similar role required, preferably within a corporate or retail real estate environment
  • Excellent organizational, communication (verbal and written) and follow-up skills required
  • Excellent time management skills; ability to prioritize and adapt to change a must
  • Ability to work in a high volume, fast-paced environment
  • Excellent customer service skills; strives to WOW the customer
  • Ability to work on multiple projects simultaneously
  • Proficient PC skills: MS Office, Access, Web applications
  • Up to 10% domestic and international travel as necessary
