Overview:
$18.25/ per hour
Under direction of the General Manager; this position is responsible for ordering, receiving, and for tracking inventory of product from vendors and shippers. The Inventory Purchasing Supervisor is also responsible for distributing items to the proper departments.
Responsibilities:
- Fully understand and support Xanterra Mission Statement and Core Values.
- Focus on always providing exceptional quality of service to guests while maximizing profitability, both in how work is conducted and when interacting with guests.
- Ensure all departments have what is needed to perform the daily operational procedures.
- Accept responsibility for ordering receiving, storing, transferring or returning any item that the operation may use, inspect quality of items upon arrival and refuse any product not deemed to be acceptable.
- Accept responsibility for the sanitation and cleanliness of the storage areas immediately following the receiving and storing of all items
- Follow F&B inventory procedures, rotate product in all areas to represent a First In/First Out philosophy of product usage and maintain stock control, including reordering to maintain appropriate par levels and product rotation
- Observe, monitor and follow-up on business level changes with the General Manager and Department Managers to adjust par levels of inventory items
- Be prepared to make decisions, weigh out all the factors, and contact appropriate resources to make an informal decision that will positively affect the operation and the Company; support all areas in The Grand Hotel with sourcing approved special order products at the most competitive cost and in a timely manner
- Responsible for procurement activities for stocked products in the assigned categories, which includes the processing of daily food and non-food orders and purchase requests
- Supply all Departments with office supplies through requisition purchased from approved vendor
- Document credit paperwork and provide feedback to purveyors on product quality, timeliness of deliveries, costing discrepancies and credits due/refunded
- Ensure accurate completion of daily stock requisitions including paperwork and delivery
- Maintain the computerized ordering/inventory tracking software, visually arrange products in a way that allows to confirm computer inventory.
- Supervise loading/unloading of delivery trucks and all inbound freight carriers and delivered to correct location
- Supervise operations to ensure ServSafe and Hazard Analysis and Critical Control Points Standards are being adhered to in receiving, shipping and storage of food products, assure that all chemicals and/or hazardous materials are properly stored in appropriate areas
- Supervise and participate in monthly physical inventory of Food and Beverage
- Adhere to liquor control policies and procedures.
- Verify all items are matched with the proper stock number and that these numbers are correct in the software program (when installed).
- Adhere to all prescribed Company, statutory/regulatory policies and procedures such as accounting procedures.
- Provide support to other departments as assigned.
- Other duties as assigned.
- Working knowledge of administrative duties
- Ability to organize and prioritize your daily routine.
- Ability to understand basic computer operator commands, experience with Word, Excel and purchasing/inventory tracking software.
- Knowledge of, or ability to learn, ordering and inventory tracking software.
- Ability to communicate in a positive and concise manner. Good verbal and written communication skills with the ability to deal with employees, vendors and clients.
- Ability to accomplish common tasks with little direct supervision.
- Ability to maintain excellent attendance and punctuality.
- Basic food sanitation knowledge in handling perishable products.
- Knowledge of, or ability to learn food and beverage items including product specs, freshness, timetables and delivery schedules.
- Knowledge of basic accounting procedures.
