FUNCTIONAL PURPOSE
DUTIES AND RESPONSIBILITIES:
Processes employment selection documents such as applications, resumes, letters of reference, transcripts, etc.- Answers or responds to phone calls, emails, faxes, or other communications to assist staff members, applicants, or district leaders with questions related to areas of human resource responsibility.
- Audits files, databases, and other documents to ensure compliance and assists with efficient retrieval of information.
- Assists new employees with onboarding and the orientation process to ensure essential payroll, benefit, I-9 verification of appropriate forms of identification, and other employment related documents are completed as well as assists with presenting information about the district and essential policies.
- Assists employees who are separating employment either voluntarily or involuntarily by completing essential documents related to pay, benefits, exit surveys, etc.
- Assists with the maintenance of databases related to background checks on existing employees, privately contracted third party employees, or certified or non-certified contracted employees.
- Processes internal employee actions such as department transfers, promotions or demotions, retirements, suspensions, pay changes, terminations of employment, etc.
- Assists with special projects or work assignments related to human resource or district compliance or actions to meet strategic district educational objectives through administrative human resources actions.
- Responsible for maintaining accurate lists of CDL holders for the entire district. Preparing annual and initial (new hire) clearinghouse data and ensuring all are received back and cleared.
- Responsible for maintaining position control in HR system. Responsible for making sure vacancies match with job postings and someone is not hired if there is not a vacant position.
- Responsible for preparing and maintaining evaluation list (annually). Send reminders and ensure all are received yearly.
- Ensures all leave of absence paperwork is processed according to established procedures and laws.
- Performs related duties as assigned.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
Knowledge of the principles, policies, and practices of Human Resources Administration.- Knowledge of federal, state, and local employment laws as well as WSFCS Board of Education policies.
- Knowledge of the public education work environment.
- Knowledge of state and federal guidelines regarding required employment information and human resource industry protocol for storing employee personal and medical records.
- Knowledge of evaluation system and rules for type plans for those being evaluated
- Knowledge of Federal Clearinghouse database and ability to utilize it to meet time demands
- Knowledge and understanding of federal and state legislation surrounding FMLA, WSFCS policies and regulations.
- Ability to communicate clearly orally as well as in written and electronic formats.
- Ability to act as a district representative and provide positive customer service when dealing with applicants, members of the public, and staff.
- Ability to use a computer or other electronic devices for the purpose of communication, data recording, location of information, and presentations.
- Ability to follow district policy as well as state and federal guidelines regarding employment documents, payroll, medical and personal data as well as HIPAA privacy requirements.
- Ability to collaborate with staff members representing various levels within the school district to identify and solve problems.
- Ability to organize and maintain important documents and files related to employee personnel files electronically and physically to allow for efficient retrieval.
- Ability to plan, manage, and prioritize work to meet deadlines.
- Ability to maintain confidentiality and discretion in all circumstances.
- Skill in Microsoft Office including Word, Excel, PowerPoint, Outlook, Teams Meeting, as well as Google Drive.
EDUCATION AND EXPERIENCE REQUIREMENTS:
Minimum: Two-year Associate’s Degree or comparable professional certificate or HS Diploma/GED plus two years of general office experience or equivalent combination of education and experience.- Desirable: Bachelor’s Degree in Human Resources, Business, or another related field and one year experience working in human resources or office administrative environment.
