This position works Monday - Thursday from 7:30 a.m. to 5:30 p.m.

Position Function
  • Under the direction of the Director of Human Resources & Risk Management, this position is an entry level position designed to learn aspects of human resources practices and provide administrative and technical support to internal and external customers. Assigned duties are designed to assist and support all related Human Resources functions to include, but not limited to: answering the phone and emails, greeting customers, preparing correspondence, filing and maintaining personnel records, entering personnel changes, processing invoices and reconciling purchasing cards. Other duties include providing excellent customer service, maintaining calendars, ordering supplies, and completing other general administrative tasks.

    Assists department by providing general support by answering the telephone, greeting customers, entering data, making copies, ordering office supplies, preparing correspondence, scheduling calendars and maintaining files. Mails letters and packages and checks internal and external mail and email daily. Processes invoices and reconciles purchasing card statements.

    Acts as the records custodian for Human Resources by scanning and storing all personnel and medical records, contracts, training records, and other related Human Resource files.

    Processes payroll changes such as address, name, changes to benefit contributions, Caught Making a Difference Awards, etc.

    Assists the HR Talent Division with scheduling interviews and new hire orientation set up, creating employee ID cards, preparing interview binders, coordinating assessments and applicant communication.

    Responds to external surveys and employment verification requests in a timely and accurate manner.

    Performs additional duties as assigned.

    Environment

    Duties are generally performed in an office environment. Possible exposure to dust, mold and electricity. Duties may also require prolonged periods of outdoor activities which may produce exposure to inclement weather and allergens.

    Requirements/Knowledge/Skills/Abilities

    Required knowledge and experience is normally obtained through education resulting in a High School Diploma or GED, and two (2) years work related experience in Human Resources or other related field are required. A Bachelor’s Degree in Human Resources, Business Administration or related field is preferred.

    Must possess good oral and written communication skills.

    Must be able to read and understand Federal and State regulations, and City policies and procedure manuals.

    Must be able to communicate and present oneself in a professional manner, and have the ability to successfully work with confidential information, such as personal and protected information.

    Ability to work under high demands, short time constraints, and pressure of a fast paced work environment.

    Ability to remain up-to-date on Federal, State and City regulations, best practices and policies affecting department activities.

    Ability to establish and maintain effective working and professional relationships with City and other public employees, public officials, contractors, consultants, vendors, media, and the general public.

    Ability to perform basic mathematical equations necessary to perform budget, benefits and procurement analyses.

    Ability to proficiently use Microsoft Office (e.g. Word, Excel, Power Point, etc.).

    Must possess a valid Texas Class C driver license.

    Must pass all post offer pre-employment processes and/or procedures, to include but not limited to Drug Screen, and applicable Background Checks.
