Swing Agent job description
The Swing Agent will work as a Front Desk Agent, Valet and Night Auditor. The job purpose of Front Desk Agent is to perform all desk related functions including but not limited to checking guests in and out, making room reservations, giving recommendations, and providing directions. The purpose of Night auditor is responsible for performing close of day scenarios for the hotel Front Office and account for daily activity by organizing and verifying information; identifying and correcting discrepancies; posting accounts; running and distributing daily reports. As part of the Night Auditor position, you are also the Valet on Duty responsible forproviding the guest valet service for their vehicles.
Key duties/responsibilities:
1. Provide quotes for room rates and up-sell the guest when possible.
2. Verify that the correct charges and credits are posted to the corresponding guest folio.
3. Collect payment for charges on the guest folio.
4. Ensure all cash and cash equivalents are accounted for and balanced at the beginning and end of each work shift.
5. Responds to guest inquiries.
6. Provide administrative, reception and program support to management and staff.
7. Manage phone activity including providing general knowledge to callers.
8. Manage walk-in traffic. Sign in guests as needed. Smile and greet customers in a welcoming manner.
9. Register and assign rooms to guests.
10. Resolve guest complaints within scope of authority; otherwise refer the matter to the management.
11. To follow all specified procedures to audit the shift closing of all front office staff, including personally closing shift three and completing an audit summary for each shift.
12. To produce accurate and timely reports and correctly handle all cash transactions
13. To follow all specified procedures to maintain and post a daily balance of all house accounts, including running preliminary reconciliations, detail transactions and final reports to accounting and profit centers.
14. Complete and transmit daily management and accounting reports and supporting documents.
15. Act as hotel system liaison during night hours.
16. Take, prepare and deliver Late Night Room Service Orders
17. On Duty Valet as required.
18. May assist with other duties as assigned.
Swing Agent job specification include job requirements:
1. High school diploma or GED; or related work experience.
2. Excellent customer service skills.
3. Excellent written and oral communication skills required
4. Ability to arrange and coordinate schedules for reservations.
5. Excellent interpersonal, administrative, telephone and other communications skills.
6. Ability to multi task and work in a fast paced environment.
7. Knowledge of computer programs utilized in property management
8. Ability to work a flexible schedule to include weekends and holidays.
9. Technical proficiency (computer applications).
10. Attention to detail.
11. Strong organizational and time management discipline.
12. Ideal candidate will have some prior hotel reception/auditor experience. Able to provide quality customer service and possess the ability to multi-task.
13. Must have good computer skills and able to perform cash handling procedures. Mature, with good judgment, detailed oriented, friendly and responsible.
14. Able to walk the halls of the hotel.
15. Able to climb stairs.
16. Four Diamond Hospitality experience desired.
17. Knowledge of Opera Property Management System desired.
