Full-time / 34 hours a week

Position Summary

The Cathedral Bookkeeper is a full-charge bookkeeper, with responsibilities for a broad range of posting accounting entries, maintaining records, preparing reports, issuing and maintaining forms, calculating payments, and preparing checks. This position functions as the financial backbone of the Cathedral, since proper accounting ensures the efficient operation of the Cathedral facility and allows personnel to focus on the Cathedral’s mission. Supervises volunteers, as necessary.

Employment with the Cathedral of St. John (Cathedral) is at will. This means your employment is for an indefinite period of time; and it is subject to termination by you or the Cathedral with or without cause, with or without notice, and at any time. Nothing in this job description or any other policy of the Cathedral shall be interpreted to be in conflict with or to eliminate or modify in any way, the at-will employment status of Cathedral employees.

Duties and Responsibilities

▪ Manage Accounts Receivable and Accounts Payable.

▪ Prepare monthly financial reports.

▪ Record contributions.

▪ Prepare contribution statements.

▪ Prepare pledge envelope list.

▪ Record pledges.

▪ Reconcile records for all Cathedral bank accounts:

o Operating Checking

o Choir Tour Checking

▪ Maintain audit information.

▪ Compile/coordinate information during annual audit.

▪ Prepare Parochial Report.

▪ Prepare post-audit report sent to Diocese.

▪ Maintain corporate records.

▪ Issue and maintain Nontaxable Transaction Certificates (NTTC).

▪ Compile, process, and reconcile semi-monthly payroll.

▪ Review and distribute W-2 forms.

▪ Process and set up employee financial records.

▪ Prepare and distribute 1099 forms.

▪ Issue and request W-9 forms.

▪ Maintain copies of and communicate/report all insurance information. ▪ Process annual Worker's Comp Audit.

▪ Maintain pension plan records and initiate changes and new requirements. ▪ Maintain account information for:

o Cathedral PayPal account

o Friends of Cathedral Music (FCM) PayPal

o Gift Shop Checking

o Thrift Shop Checking

o Thrift Shop PayPal

o Thrift Shop Square

▪ Handle incoming and outgoing correspondence and inquiries for Cathedral financial matters.

▪ Attend monthly Finance Committee meetings.

▪ Provide monthly reports to Finance Committee and other organizations within the Cathedral (Food Pantry, Music Dept., Choir Tour, and Outreach).

▪ Assist Finance Committee in establishing and maintaining account budgets. ▪ Calculate and prepare monthly Fair Share due Diocese and maintain records pertaining to contributions.

▪ Maintain Cathedral investment records and transactions.

▪ Maintain United Way account.

▪ Other duties as assigned.

Qualifications and Skills

▪ Broad background and experience in business, nonprofit or church finances, with skills as full-charge bookkeeper.

▪ Ability to produce highly precise, accurate work.

▪ Flexibility to job demands.

▪ Experience (or ability to learn) accounting programs plus MS Word, Excel and email. ▪ It is required that this position complete “Safeguarding God’s Children” training within 30 days of employment.
