About the Job:
The Administrative Assistant will attend to visitors and deal with inquiries on the phone and face to face. Supply information regarding the organization to the public, vendors, and customers. Completes a variety of administrative duties.
Scope of Duties:
- Answers incoming phone calls, determines purpose of calls, and forwards to appropriate personnel or department
- Greet customers and visitors (hand out applications, direct persons to correct destinations, etc.)
- Monitor visitor access and maintain visitor log
- Provide general administrative and clerical support
- Handle sensitive information in a confidential manner
- Handle all aspects of mail outgoing and incoming (distribution, stamping, post office runs, etc.)
- Order and maintain office and coffee supplies
- Schedule conference room reservations
- Book travel arrangements
- Coordinate meetings and organize catering (order and pick up lunches)
- Assist other departments as needed
- Other duties as assigned
Minimum Requirements / Qualifications:
- Excellent verbal and written communication skills
- Bilingual and Biliterate in English and Spanish
- Knowledge of computers and proficiency in MS Office (MS Excel and MS Word, in particular)
- Professional personal presentation
- Reliable
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Strong organizational skills with the ability to multi-task
- Valid Driver’s License and reliable transportation
- Must be able to be on site in Watsonville.
Education/Experience:
- High School Diploma or equivalent
- 1 year admin assistant experience
Job Type: Full-time
Pay: $17.00 - $18.00 per hour
