T&T Construction is hiring a bi-lingual (English/Spanish) full-time Fleet Administrative Assistant to assist corporate office operations in the Casselberry, FL office.

Purpose of Position

Provides clerical and administrative support to Fleet department and assists in coordinating all aspects of daily operation, including recording and reporting data through out each region.

Knowledge, Skills & Abilities

Bachelor’s Degree in Business Administration, Accounting, or related field (Preferred). Minimum of 1 year of experience within the commercial construction industry with knowledge of the maintenance and repair of heavy-duty construction equipment and vehicles.

  • Excellent verbal and written communication skills; Bilingual (English/Spanish) oral and written fluency (Preferred).
  • Excellent organizational skills with the ability to work effectively in a team environment.
  • Above average proficiency in multiple technology platforms including Microsoft Office Suite and databases.
  • Able to lift 20 pounds and us a hand truck with 40 pounds.
  • Must be able to work with minimal supervision prioritizing work in a fast-paced multi-task environment.
  • Attention to details, a high level of accuracy and excellent follow-up skills are required.
  • Ability to build positive working relationships with multiple levels of employee and management.
  • Must think strategically, make sound decisions, and produce accurate and timely results.

Responsibilities include but are not limited to:

  • Comply with all operating policies, procedures, executed Plans, and Programs.
  • Maintain accurate vehicle and equipment records.
  • Maintain a database of truck and driver information.
  • Receive repair orders from mechanics and production team.
  • Submit completed purchases orders for parts and supplies. Maintain up to date availability and delivery status.
  • Schedule fleet maintenance and repairs.
  • Prepares work orders to assist Fleet Service. Update work orders daily by the direction of Fleet Management, Logistics or Service. Ensure accuracy of entries.
  • Verify that repair orders are completed and calculate total work hours. If clarification is needed, locate responsible party, and confirm information.
  • Update and maintain current parts inventory data within the maintenance software.
  • Generate weekly and monthly safety reports to the Safety Department.
  • Review daily inspection reports of Fleet equipment.
  • Generate daily inspection reports and send to designated team members. Follow up with field to make sure faults or repairs have been completed.
  • Drop off or Pickup of equipment/parts/tools as required by the Fleet Department.
  • Coordinate and maintain an accurate schedule of due dates for vehicle inspections plates and stickers.
  • Review and update WEX gas cards when required.
  • Support Fleet Management with completion and submission of required State and Federal compliance documents.
  • Follow-up on tasks and assignments in a timely manner.
  • Assist Fleet Department necessary to reduce work overload on team members.
  • All other duties as assigned.
