The Opportunity:

The Executive Assistant role requires the ability to plan and anticipate the needs of the CEO. This individual must possess extraordinary attention to detail, exceptional organizational skills, and the ability to meet tight deadlines while juggling multiple critical assignments and working closely with other Executive and Administrative Assistants throughout the organization. The successful candidate will possess the ability to complete complex tasks quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action with minimal feedback. We are looking for someone motivated, with a proven history of high performance and the ability to operate under pressure. The ideal candidate is confident, enthusiastic, resourceful, tech-savvy, forward-thinking, self-motivated, and a creative problem-solver. A relentless bias for action and effective communication at all levels is a must. This person must have a high level of integrity and discretion in handling confidential information and professionalism in dealing with senior executives. Must live in Naples, Florida or the surrounding area.

Essential Duties:

  • Provides administrative support to the CEO including assistance with answering calls, setting appointments, handling meeting and event details, purchasing and expense tracking, document reviews.
  • Provides administrative assistance, such as writing and editing emails and letters, drafting memos, and preparing other communications on the executive’s behalf.
  • Provides calendar management, including scheduling, prioritizing, and coordinating meetings both daily and long term while addressing competing priorities and goals.
  • Assists in preparing and managing presentations.
  • Assists with CEO’s social media accounts, web presence, bios, photography, and other media as needed.
  • Tracks, organizes, and distributes media on the CEO and/or company.
  • Organizes team communications and plans events, both internally and offsite.
  • Manages incoming calls and requests for the CEO, provides direct follow-up and determines if additional follow-up is required.
  • Coordinates complex travel arrangements and logistics and submits related expense reports.
  • Excellent communication and time management skills; proven ability to meet deadlines.
  • Completes tasks on behalf of the CEO.
  • Travels with the CEO as needed.
  • Other duties as assigned.
  • Remote/flexible position with frequent in-person meetings and work with the CEO at her home or office located in Naples, Florida
  • Schedule will align with the CEO’s calendar and availability.
  • Fast-paced environment.
  • Other in office meetings when necessary.
