Executive Assistant
Orora Packaging Solutions is seeking an experienced the Executive Assistant is responsible for providing high-level administrative support to senior level executives within the company, including but not limited to managing their schedules, travel, and expenses. The ideal candidate is highly organized, pragmatic, an expert multi-tasker and is not easily overwhelmed. Additionally, the Executive Assistant is comfortable interfacing with all levels of internal management and staff as well as outside customers, vendors, and candidates in a fast-paced environment. This role maintains and protects highly confidential corporate information, is the first point of contact, both internally and externally, and works independently with minimal supervision or direction.
Summary of Role and How You'll Fit In
As a member of the Executive Administrative Team, this position will directly support the company President, V and CHRO, and various Executive Leadership Team members in several capacities by performing a variety of administrative functions such as, but not limited to, scheduling appointments and maintaining calendars, coordinating meetings, events, and travel, managing company-owned event tickets, composing various types of correspondence and communications, managing vendor accounts, reconciling and preparing expense reports, responding to co-worker and customer requests, and working on various projects as directed with a high level of confidentiality. Additionally, researching and assisting in the creation of management presentations, supervising administrative staff, and managing office/building maintenance.

Responsibilities
· Manage and coordinate logistics for meetings and events
· Maintain calendars for executives
· Book complex travel including multi-leg trips, visa requirements, etc.
· Ensure supported executives are prepared with all materials and information for meetings, events, and travel by compiling reports and/or presentations
· Maintain office supply inventory
· Generate reports in Word, Excel and PowerPoint
· Prepare and reconcile expense reports
· Ensure facility is maintained appropriately and resolve any issues that may arise
· Work collaboratively with other global executive assistants as needed
Qualifications
· 5+ years executive support experience within a fast-paced professional environment
· Proactive and pragmatic, considers all scenarios, gathers all pertinent information before communicating
· Proactively identifies and addresses potential issues or conflicts
· Strong attention to detail, follow-up and excellent organizational skills
· Ability to treat sensitive and confidential information with appropriate discretion
· Strong sense of urgency, adaptability, flexibility and resourcefulness
· Ability to function professionally under pressure, while managing multiple concurrent projects and deadlines
· Proficiency in Microsoft Office, including Outlook, Word, Excel and PowerPoint
· Must possess personal tact and good judgment; excellent interpersonal, written and verbal communication skills
· Occasional after-hours work may be required
· Bachelor’s degree preferred

Compensation: $38.00-$49.00/hr
*The actual base salary offered to a candidate will vary based on several factors, including, but not limited to, years of relevant experience and geographic location.
