Job description
Scope of the position: provide efficient and effective administrative and general support to the CEO in performance of his/her duties. Provides administrative support to other key executives. Leads projects as directed by the CEO. Represents Company in a professional and efficient manner while effectively handling multiple administrative responsibilities. Ability to work independently and with moderate level of supervision required to meet various deadlines.
Primary Duties and Responsibilities include the following. Other duties may be assigned.
- Manages and coordinates the CEOs calendar utilizing MS Outlook and schedule appointments.
- Manages priorities of the CEO’s time on an empowered basis. Manage shared calendars as assigned.
- Coordinates appointments, customer visits, and international visitors.
- Manages the conference room’s reservation schedule.
- Prepare travel itineraries and expense reports the CEO other executive level management as needed.
- Organize and coordinate Board Meetings, Executive meeting, internal and external meetings, and company events as directed.
- Screen mail, telephone calls and email correspondence and respond to routine correspondence independently when possible.
- Leads special projects and directs others as assigned by the CEO.
- Initiate routine and some non-routine correspondence.
- Organize and manage the CEO paper and electronic files.
- Takes notes and prepare minutes for management meetings as needed.
- Prepare complex presentations or reports using advanced features of MS Office Suite.
- Maintain and update electronic or other databases as directed.
- Maintain strict confidentiality of all the CEO and company correspondences as well as personal matters.
- Represent the Company in a professional manner.

Education and/or Experience
Bachelor's degree (B. A.) from a four-year college or university; or five to ten years related experience and/or training; or equivalent combination of education and experience. Experience in a multicultural company preferred. Experience in a manufacturing company or Food Industry preferred.
Language Skills and Cultural Awareness
Fluent in English required. Formal/conversational French and able to effectively translate in either direction between English or French including subtleties desired. Experience with and understands cultural norms in France and the US.
Computer Skills
To perform this job successfully, the candidate must have advanced skills in MS office suite of products, especially Outlook, Word, Excel, and PowerPoint. For example, must have ability to efficiently create pivot tables and complex graphs from spreadsheet data tables. Proficiency to produce very professional presentations from complex content is required.
Other Qualifications
Basic understanding of accounting and financial reports.
Travel estimated 10%. Travel may be more frequent in the first 3- 4 months during the training period.
