Job description
Conference and Event Servicesaffirms the University’s mission of integrating learning, discovery and engagement through the planning and logistical support of conferences, events, meetings, camps and activities, and provides access and stewardship through the scheduled and contracted use of University assets.
The Event/Promo Coordinator II (EPCII) serves as a primary contact and an event manager for the areas that the department schedules/reserves. These areas consist of the Strand Union Building, Danforth Chapel, Sports Facilities, classrooms, campus outdoor space and off-campus facilities. As the face of CES (and an ambassador of MSU), the EPCII works with a wide variety of clientele ranging from student organizations and MSU departments to high profile events that shape public opinion of the university and its facilities.
CES provides services to a variety of clientele – students, campus departments, external groups, and summer conferences. The EPCII will be the primary point of contact for one of these providing conference and event coordination and production from initial contact with clientele to execution of the conference or event. Duties include:
- Researching and reserving space across campus and off-campus
- Communicating MSU and building policies and ensuring compliance with contracts and insurance requirements
- Working within customers’ budget constraints
- Writing contracts and monitoring invoicing/billing
- Designing room set-ups
- Coordinating with other campus services as needed
- Determining security needs for events
- Onsite event management
- Directing human resources during set-up, change overs and at events
- Maintaining computerized reservation system
- Coordinating and communicating the SUB’s hours and the hours of the various retail operations housed therein
- And actively contributes to the team by performing other duties as needed in support of the department’s mission
Job Type: Full-time
Pay: $21.04 per hour
