Summary The Special Events and Outreach Coordinator is responsible for the management and coordination of all events of the Humane Society of Yuma. Additionally, this position is responsible for the development and implementation of the events calendar and the maintenance of the calendar. This position develops sponsorship/trade/business arrangements and relationships with businesses, individuals and organizations interested in supporting the shelter’s events and activities. This position will work in coordination on other projects as assigned with the Marketing Manager, other office staff and volunteers in attracting funding for the shelter.

Essential duties and responsibilities:

· Planning, implementation and follow-up for all special events and annual receptions.

· Manage and maintain the shelter events calendar, correspondence, invitation and attendance lists

· Coordinate event logistics, publicity, including public relations, advertising and collateral material design, production and distribution

· Responsible for silent auction, prize and in-kind donation solicitations for each event

· Cultivate, foster and expand sponsorship development and fulfillment

· Coordinate logistics of event ticket sales.

· Supervise and coordinate with event contractors

· Write, submit and follow-up to ensure placement on press releases and stories to established contacts with local and regional media

· Maintain and broaden social networking to benefit the organization.

· Establish and expand merchandise opportunities.

· Actively participate and staff committees as necessary and appropriate.

· Develop and maintain the BEHUMANE program that will run during the school year.

· Visit schools throughout the year to promote HSOY and teach children what it means to BEHUMANE.

· Create presentations and lesson plans for summer camps, after-school programs and schools.

· Attend public presentations and fairs as needed by the Marketing Department to promote HSOY and the meaning of being Humane.

· Help create educational videos for staff, volunteers and community on various topics throughout the shelter

· Coordinate and manage summer camps at the shelter revolving around children. This includes, but is not limited to, outlining a detailed agenda, creating and coordinating activities, scheduling guest speakers, inventory of educational materials and BEHUMANE shirts, solicit and/or order supplies.

· Coordinate and manage BEHUMANE program. Outline detailed age-based lesson plans, create and coordinate age appropriate activities.

· Work with Marketing/Development team to set up advertising and press releases for programs.

· Organize tours and presentations for kids/specialty groups here at HSOY shelter.

· Solicit and schedule schools and community clubs/groups/organizations presentations.

· Must stay abreast of industry standards with regards to Humane Education for children and adults.

· Will oversee, coordinate and participate in all birthday parties that are held at the shelter

Qualifications:

· Prefer a minimum of 2 – 4 years of experience in a paid special events, marketing and website management, preferably with a nonprofit organization

· Event, communication, marketing and/or public relations experience desirable.

· Able to quickly learn software that is specific to animal sheltering and volunteer relations

· Strong computer skills with the ability to operate spreadsheets and word processing programs, to include proficiency in Excel

· Close attention to detail

· Ability to manage time and meet required deadlines

· Minimum of 2 years of teaching experience

· Minimum of 1 year of animal handling experience

· High School Diploma required

· Experience in Classroom Management preferred

· Bachelor’s Degree in education, zoology, biology, environmental science or a related field preferred

Pay: $15.00 - $18.54 per hour
