Job Description
The Dental Clinic at the UMKC School of Dentistry is seeking an experienced, customer service focused individual to join our collaborative, fast-paced clinical environment. With responsibilities at both front desk and call center areas, individuals in these positions are the first point of contact for Dental School patients, visitors, faculty, staff, and students and are responsible for greeting, updating patient medical records, and providing the necessary information need to be seen in the clinic.
Front Desk Duties
Located at the main information desk, duties include but are not limited to:
- Checking in patients for their appointments at time of arrival
- Providing clear direction to patients, visitors, faculty, staff, and students and ensuring all questions are answered (e.g., where to park, providing directions within the building, and escalating questions to supervisors when appropriate.)
- Ensure the front desk is neat, presentable, and equipped with all the necessary supplies
- Working cross-functionally with individuals and teams including patients accounts, team clerks, oral surgery, dental assistants, faculty, and students
- Review, update, and reasonably comprehend information contained patient charts/records
- Input patients’ information into the computer system
- Scan patients' I.D. into the system/update charts when needed
- Assign doctor codes when needed/end dates on charts
- Provide doctors notes for work or school
- Relay rationale for appointments which are cancelled or changed
- Page students and/or doctors, as needed
- Print daily student and screening list
Call Center Duties
Located in the telecommunications office, duties include but are not limited to:
- Answering incoming local, long distance, and inter-campus telephone calls and make proper connections.
- Place outgoing and interoffice calls
- Record pertinent information concerning conference, credit card and overseas calls.
- Receive and respond to emergency calls, record necessary information, and notify appropriate personnel.
- Maintain daily call schedule.
- Assist in the maintenance of paper assignments and maintenance of records.
- Provide routine non-technical information upon request and/or refer to appropriate area.
- Provide telephone service functions such as coverage for vacated positions in call center.
- Make direct calls to telephone company to report service problems.
- Will use computer to schedule patient appointments.
Message Center Duties
Located in the telecommunications office, duties include but are not limited to:
- Review, update, and reasonably comprehend information contained patient charts/records
- Input patients’ information into the computer system for appointments
- Ensure the message center is neat, presentable, and equipped with all the necessary supplies
- Relay rationale for appointments which are cancelled or changed
- Providing clear Information to patients’ and ensuring all questions are answered (e.g., fees for screening appointments, providing email address for x-rays, where to park, escalating questions to supervisor when appropriate.)
- Transfer incoming and outgoing calls within the building
- Provide coverage for positions in call center/front desk
- Mail out screening letters to patients, note charts if mail was returned
- Working cross-functionally with individuals at the front desk
Minimum Qualifications
- High school diploma or equivalent
- At least 5 years of experience from which comparable knowledge and skills can be acquired is necessary
Preferred Qualifications
- At least 1 year of experience working as a receptionist, front desk or call center representative or in a position with related duties in a medical or dental environment
- Ability to balance multiple tasks simultaneously
- Bilingual candidates (English/Spanish) are encouraged to apply

Full Time/Part Time
Fully-benefit-eligible, 40-hours per week (1.0 FTE), staff position.
Salary
- Up to $17.00 per hour, commensurate with education, experience, and internal equity
- This position is eligible for a $1,000 hiring incentive (see HR-104 Hiring Incentives for Faculty and Staff)
