The Dealer Trades and Deposit Administrator Position has a Pay Scale consisting of the following elements and ranges. Wages include Base Hourly Compensation of between $17.00 and $18.00.

The Dealer Trades and Deposit Administrator is responsible for auditing the paperwork, filing documents supporting sales and accounting entries, process paperwork associated with new and used vehicle flooring accurately and in a timely manner, prepare reports on outstanding dealer trades vehicle receivables, receipt and account for all money received from Parts, Service and Finance, and monitor transaction documents to ensure that all transactions are properly documented and conducted in line with generally accepted business and accounting practices.

Essential Duties and Responsibilities

• Process dealer trade paperwork and make all appropriate accounting entries daily, in line with the organizations, the manufacturer’s and legal and regulatory expectations and generally accepted business and accounting practices.
• Process MSO’s as requested.
• Monitor and ensure collection of past due amounts from dealers and customers.
• Post dealer trades and process accompanying paperwork.
• Payoff flooring notes following flooring institution’s timelines and expectations.
• Process flooring requests on vehicles received from dealer trades and other sources.
• Assist in flooring audits.
• Pick up cash, checks and credit cards slips from Finance safe with and sign off on all receipts with another employee present.
• Reconcile and deposit service, parts and Finance receipts, including credit cards, on a daily basis.
• Enter finalized cash receipts and update accounts receivable ledger by customer.
• Receipt all monies received from vehicle sales, check for money due, credit cards, cash, ACH/EFT, electronic drafts and provide drafts for dealer signature.
• Prepare cash deposits and fill out the cash control sheet daily.
• Research and process credit card charge backs, returns and bad checks.
• Balance cash clearing account to zero out every day.
• Retrieve all funding notices via Infobahn, Dealer Track and F&I and receipt all funding notices.
• Request daily bank statement and post all bank transactions on a daily basis.
• Ensure all deposits are sent to Bank through couriers on a daily basis.
• Adhere to work schedule and arrive at work before your scheduled start time and be at your work station productively engaged by the scheduled time.
• Comply with all safety rules and use all appropriate safety and personal protection equipment as required.
• Adhere to established dress code policy at all times.
• Safeguard customer and Dealer information per established policy.
• Exemplify organizational culture and hold others in department accountable for doing the same.
• Accomplish all current and future tasks as appropriately assigned or requested.
• Other related duties as may be assigned.
