Doubek Medical Supplies is a local, independently owned medical equipment provider
offering a full range of respiratory equipment and accessories for the homecare patient to aid
in a better quality of living. We are currently seeking a full-time CPAP Coordinator to join our
team in Alsip, IL.
Summary:
The CPAP Coordinator is responsible for assisting our clients with CPAP Therapy and other respiratory
treatment options. They will assist the Respiratory Manager and Customer Service Representatives with
patient care and documentation. They will be required to have extensive knowledge of respiratory
equipment and compliance.
Responsibilities:
- Responsible for assigning Respiratory / CPAP Fax Queue for CSR (Customer Service
- Representative) intake (within hour of receipt)
- Coordinate with CSR team that all new orders are sent for insurance verification and if out-of- network will communicate with referral partner (within 24 hours of order receipt)
- Work or assign rush orders and follow up with referral partner & Sales when scheduled/set up
- Monitor progress for all open CPAP orders, and ensure they are processed in a timely manner
- Consistently monitor CSR task follow up and missing documentation
- Ensure communication with Sales if they need to help obtain documentation from doctors office
- Authorize coordination and follow-up / communicate delays with referral and patient
- Receive and review RT (Respiratory Therapist) daily set-up email and communicate important patient issues/updates with referral partners and Sales
- Monitor PAP machine inventory and communicate shortages to team
- Consistently review and share “CPAP waiting for set-up” report
- Develop CPAP status spreadsheet / email to key referrals and sales team (weekly)
- Assist with re-supply program and staff
- Track important CPAP scorecards and share with Respiratory Manager and Sales
- Enter Google review requests for completed set-up
- Document contact information for all referral partners and notify Sales of orders from new doctors/offices
- Assign and schedule CSRs to help support CPAP retail walk-ins
- Monitor and manage Parachute Health orders and assign to CSR
- Work closely with CSR, Sales, and RTs to address and offer suggestions to improve CPAP efficiency and provide the best possible experience for our referral partners and their patients
- Help participate and prepare for biweekly Respiratory meetings
- Work with Respiratory Manager to help manage CSR team to support CPAP customer care and order processing
- Working with Respiratory Manager to hire new team members
Qualifications:
- Experience with CPAP machines and respiratory assistance
- A minimum of 2 years Customer Service experience in a fast-paced office setting, preferable within the DME (Durable Medical Equipment) industry or medical setting
- A professional, positive demeanor with excellent customer service skills
- Willingness to learn a new skill set
- Strong attention to detail and ability to follow up
- Must be able to lift and maneuver equipment of any weight up to 50 lbs
- Must be able to demonstrate basic MS Word, Outlook, and Excel skills (Pivot Tables)
- Bachelor’s degree in business, medical field, or related industry preferred
- Knowledge with Brightree software is a plus
- Bilingual candidates are a plus
