The Corporate Meeting and Event Planner reports to the Executive Staff generally and specifically to the Chief Strategy Officer and must be able to plan, organize, and implement activities for events and conferences that are not managed by the Company’s marketing firm. Activities will include coordinating with the Company’s marketing firm. Internally, duties include working with the Executive Team to create and manage environment at multiple offices, as well as propose and manage events and activities to maintain and enhance Company esprit de corps.

Essential Duties and Responsibilities - Duties and Responsibilities include, but are not limited to, the following:

Executive Support

  • Develop and maintain positive relationships with broker-dealers and financial advisors in support of Chief Strategy Officer and Capital Team.
  • Make travel arrangements, including flight, hotel, rental cars, and dinner reservations for the team and guests.

Corporate event planning – external:

  • Plan, organize, and implement investor due diligence events.
  • Create and send invitations to distribution list, based on request.
  • Negotiate contracts and agreements with hotel and dinner venues.
  • Select menus for catered and dinner meetings and events.
  • Plan for audio visual needs and other venue needs. (i.e., name tags, pre-event registration, event greeting etc.).
  • Manage travel for guests (i.e., airfare, airport transportation, hotel accommodations).
  • Prepare and ensure confirmation information and detailed itineraries are delivered to guests prior to the meeting date.
  • Supervise due diligence printed materials including distribution of informational binders.
  • Arrange and supervise shipment of materials to venues and coordinate return shipping.
  • Select welcome gifts for guests and compose personalized welcome notes.

Marketing materials:

  • Manage and distribute printing of materials for exhibits and letterhead, envelopes, business cards, and special marketing items.
  • Select and coordinate delivery of thank-you gifts sent to broker/dealers after signed agreements are received.
  • Coordinating with marketing firm in preparation and distribution of investor kits.
  • Select, purchase, and mail holiday gifts and greeting cards and Swag items. Manage design and printing.
  • Manage preparation of welcome packets for all funds, customizing per each fund and shipping to investors after monthly closing date.

Conference management:

  • Manage travel for attendees, (i.e., airfare, airport transportation, hotel accommodations).
  • Coordinate with marketing firm for shipment of materials to conference locations.
  • Ensure that conference planner headshots, biographies, logo’s, and descriptions are completed, accurate and available.
  • Arrange and pay for sponsorship applications.
  • Organize and coordinate attendee pre-registration.
  • Prepare speaker applications when required.
  • Manage corporate office(s) - Coordinate and assist other senior management in:
  • Purchasing and coordinating office location furnishing and appearance.
  • Plan, organize, and execute set-up for in-house meetings including catering and meal reservations.
  • Coordinate supplies for office locations.
  • Monitor expenses related to events, conferences, office supplies and furniture, and in-house catering.

Other Responsibilities may include:

  • Work on special projects as assigned

QUALIFICATIONS - The ideal candidate should possess the following skills:

  • Four (4) Year college degree (Bachelor) or equivalent work experience
  • Highly detailed and organized with ability to multi-task.
  • Familiar with travel and travel needs.
  • Computer skills including Microsoft suite of applications and Smartsheet.
  • Excellent communication skills, written and verbal - Grammar, spelling, punctuation.
  • Self-starter with the ability to work independently.
  • Flexible schedule and ability, intermittently, to travel out of state.
  • Ten years or more in related business
  • Ability to exercise good judgment and solve problems independently.
  • Desire to contribute to the overall success of the enterprise.

Base Salary Range:

$65,000 - $90,000
