Job Summary and Qualifications
1. Medical Staff Support
- Facilitate ad hoc medical staff meetings (develop agendas, maintain meeting minutes, coordinate follow-up) when assigned.
- Maintain and distribute master medical staff calendar of activities and provide support for food requests and housekeeping as needed.
- As a shared function with the CPC, send official correspondence to medical staff members.
- Provide support functions to medical staff officers in performance of their duties when assigned.
- As a shared function with the CPC, prepare credentialing reports for medical staff leaders, committees, and the governing body.
- Communicate with CPC regarding any organizational, functional, technical, policy, or process change that might affect the CPC’s services.
- Resolve issues or disputes between the hospital and the CPC in a timely manner.
- Back up the director in administering the process to manage all Healthcare Industry Representatives (HCIRs).
2. Medical Staff Education
- Provide orientation for new medical staff members.
- Provide education to administrators and department directors regarding CPC operations and MSO operations, privileging (including temporary and disaster privileging), HCIR credentialing.
3. Accreditation and Regulatory Compliance
- Back up the director as the hospital’s expert regarding relevant accreditation and regulatory requirements as it pertains to Medical Staff Services functions.
- Prepare for and support accreditation, regulatory, and any internal surveys relative to credentialing, privileging and peer review activities and functions.
- Respond to any accreditation and regulatory compliance deficiencies by working with the director in developing and implementing corrective action plans.
4. Facility-based Credentialing Tasks
- Process each RFC/application and R-RFC/re-application received from the CPC that has a yellow flag or a red flag in accordance with Policy CPC 32
- Validate flagged information;
- Investigate the circumstances to either confirm or clear the concern;
- Present the flagged information for special review by the department chairman, credentials committee, MEC, and governing body;4.
- Enter into Visual Cactus the detailed research and resolution information in theNotessection of each CactusAction/Flagwithin three calendar days of the final decision to take action.
- Apply the credentials evaluation process uniformly to all RFC/applications and R-RFC/re-applications.
- Compile and analyze any available internal data and information for an assessment of qualifications and competencies for each R-RFC/re-application.
- Perform a final review of each RFC/application and R-RFC/re-application to ensure compliance with internal credentialing procedures.
- Manage and archive files according to HCA and hospital procedures and accreditation/regulatory standards.
5. Privileging
- Assist the director as needed to facilitate development of clinical privileges.
- Facilitate the review of requests for clinical privileges using the approved eligibility criteria.
- Maintain all up-to date-privilege content within the Visual Cactus system.
- Coordinate access by authorized hospital staff to credentialing information as needed through iPrivileges or iPharmacy portal.
5. Performance Improvement/Peer Review
- Coordinate with the quality department to facilitate focused professional practice evaluation (FPPE), and any related evaluation at the conclusion of FPPE or a period of provisional status as assigned.
- Coordinate with the quality department to facilitate ongoing professional practice evaluation (OPPE) as assigned.
- In collaboration with the director, identify critical MSO performance benchmarks with the CPC, and take action to improve when performance is not as desired or expected.
6. Risk Management
- In coordination with risk manager, ensure timely and proper notification regarding any probable claims involving a peer reviewed case.
- Support due process in accordance with the hospital’s fair hearing and appeals policy as well as legal and regulatory requirements as requested by director.
7. Information Management
- Support policies regarding the management, access to, and distribution of credentialing, privileging, and peer review information, in accordance with confidentiality requirements and record retention policies.
- Respond to external requests for information in accordance with policy.
- Run “QRS Reports” to identify any late reappointments, expired credentials, or limitations on credentials (e.g., DEA or state narcotics registration).
- Work with the director to develop an action plan with timelines and implement the plan to address any concerns identified.
- Notify hospital and medical staff leadership and follow the bylaws as related to any suspensions or other actions that may be required resulting from the concerns identified.
8. Knowledge, Skills, Abilities

- PC Skills – demonstrates proficiency in Microsoft Office (Excel, Access, Word) applications, Visual Cactus, and others as required
- Medical staff services technical skills – extensive knowledge of credentialing, privileging, peer review, and all other aspects of medical staff services
- Analytical skills – demonstrates ability to critically evaluate and appropriately act upon complex clinical and technical information
