JOB TITLE: Contracts Administrator-Government

JOB SUMMARY:
The Contract Administrator will assist the Government Sales and Marketing Team with the SCA bidding process and procedures from start to finish in all our target market areas. This position will be accountable for the dynamic tracking of all bid activity and results, as well as, managing all customer contract renewals and maintaining and reporting of contract inventory for each of our operating locations.
Under general supervision, this position will be part of a bid team and perform bid and RFP research, analysis, summaries, recommendations, and support to the company on all upcoming bids, contract renewals, and privatization opportunities. Maintain database of company bid activity and utilize salesforce.com, ms excel and other software routinely to track and present information. SCA offers a competitive compensation package which is DOE.
JOB LOCATION AND HOURS: The Contracts Administrator will typically work M-F, 8am-5pm out of our main office located at 4141 Rockside Rd, Cleveland, OH

Our fleet uses the latest mechanical broom sweepers and regenerative air vacuum trucks. JOB DUTIES AND RESPONSIBLITIES
  • Using the internet, perform research on potential customer characteristics and traits (# of employees, annual budget, names of key staff, etc)
  • Assist in the monitoring, research and communication of applicable DOT and Municipal Lettings, Solicitations, RFQ’s, RFP’s and ITB’s.
  • Using office 365 software, categorize, group, prepare and present information
  • Maintain and report SCA’s bid opportunity pipeline, maintain bid calendar and weekly activity report and bid activity results reports on a regular cadence.
  • Working cross-functionally, prepare and create bid proposals, bids, outlines and responses.
  • Analyze data for relevancy to business based on a pre-set group of standards
  • Proactively prepare for deadlines
  • Manage, track and maintain contract storage and filing, as well as, contract renewals for all Government contracts.
  • Proficiency in computer skills including Internet, Microsoft excel, powerpoint and Teams
  • Proficiency in the basic use of Salesforce.com
  • Participate in team discussions and make recommendations on how to constantly improve data integrity, methods of data and information procurement and presentation of information
  • Some out of town and out of state travel may be required occasionally.
JOB REQUIREMENTS
  • Ability to work independently to achieve outcomes Is essential

  • Mastery of communication via email, text message, video conference and In person will be required
  • Ability to create presentations clearly and accurately
  • Experience In a similar setting working with contract and/or bid teams Is preferred
  • Basic knowledge of salesforce.com Is essential
  • Proficient In MS applications Including Word, Excel, PowerPoint, Teams Is essential
  • Bachelor's degree in business management, finance, economics, public administration or other similar discipline is preferred.
PHYSICAL AND MENTAL REQUIRMENTS NECESSARY TO DO THIS JOB
1. This job requires work indoors most of the day in an office environment. The ability to work at a computer screen for up to 8 hours and sustain attention to tasks with distractions and/or interruption throughout the day.
2. Ability to interact appropriately with a variety of individuals including customers, clients, coworkers, supervisors, the general public and others.
3. You may be required to work alone and as part of a team. You may be required to deal with difficult people.
4. This job requires carry or lifting requirements: Frequently moves boxes weighing up to 50 pounds across the office for various needs.
5. This position may require out of town or out of state travel once per month on a rotating basis so the ability to move throughout an airport, book car and hotel reservations and schedule work out of the office is essential.
6. While performing the duties of this job, the employee is constantly required to talk, and hear (effectively communicate verbally in person and via regular telephone equipment in English), and must be able to read computer screens, and both read and create correspondence and reports in English. Must be able to write handwritten reports and notes in clear, legible English.
