Hypower has an opportunity for an experienced Commercial Tag & Title Clerk – DOT Compliance to join our team!
This is a full-time position, based in Chambersburg Pennsylvania and the salary $ 50,000 - $70,000 compensation range is based on experience.
A DOT Compliance Coordinator ensures that the fleet of truck drivers they manage adhere to the Department of Transportation regulations at the state and federal level. In this position, you oversee protocols like physical exams, random drug testing, and licensing. As a DOT Compliance Coordinator, you work closely with the Hypower team to facilitate these actions. Your responsibilities also involve safety training for compliance with OSHA regulations. Your day-to-day duties include coordinating with the fleet manager regarding the correct logging procedures for drive time and maintenance schedule for the vehicles. Provides support in establishing and maintaining compliance with documentation regarding federal Department of Transportation (DOT) regulations.
Job Brief
The DOT Compliance Coordinator provides administrative and clerical support for safety programs with a focus on Department of Transportation (DOT) compliance. This is an enterprise-wide support position that involves creating and maintaining databases and reports for operational leadership.
Supplementary activities will include assisting the Fleet/Logistics Manager with daily activities and all other tasks associated herein:
DOT Compliance

  • Coordinate and ensure efficient conveyance of equipment and materials.
  • Plans, distributes, and monitors daily transportation route assignments to ensure internal customers are serviced per company standards.
  • Communicates shipment reports daily, communicating to Fleet Manager in case of any changes or potential delays.
  • Communicate detailed information such as time and specific locations of dispatched resources to leadership in the field.
  • Manage all CDL drivers
  • Driver Consortium
  • Driver Logs
  • Hauling Permits
  • DOT compliance awareness
  • Maintaining continued DOT driver qualification files by collecting, reviewing and filing updated documents (including all details and requirements related to Motor Vehicle Records, physicals, Annual Review of moving violations, CDL expiration notification)
  • Preventative Maintenance plan for equipment
  • IFTA filing (International Fuel Tax)
  • IFTA Licensing & ELD data collections
  • IFTA filing, UCR reporting, Registration of Commercial Vehicles and Trailers, SmartWay reporting, and NMFTA.
  • UCR Registration (Unified Carrier Registration)
  • Update FMCSA (Federal Motor Carrier Safety Administration)
  • Implementation of Federal DOT program to ensure compliance and inspection regulations are adhered to.
  • Code and submit delivery tickets weekly to Fleet Manager for review to ensure proficiency.
  • Vehicle renewals with state inspections

Facility Management

  • Update Fleet Manager of facilities and logistics needs
  • Auditing equipment files to assure necessary documentation is filed accurately and timely, including ongoing vehicle inspection documentation and proof of repairs
  • Maintain files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices.
  • Weekly & Monthly vehicle inspection report submittals
  • Obtain quotes and complete cost analysis reports, with the Fleet Manager
  • Assist with maintaining all properties obtained by the project.
  • Procuring all necessary items for yards via purchase order entry in Spectrum ERP
  • Assist with all day-to-day operations for GPS Fleet Tracking

Minimum Qualifications
Required:

  • Must have a minimum of 4yrs experience with Pennsylvania DOT regulations.
  • Pennsylvania State Titling & Registrations
  • Knowledge of inspection requirements
  • Must have strong computer skills, able to communicate clearly by email, strong use of excel for tracking information.
  • IFTA, UCR, and FMCSA knowledge
  • Ability to manage multi-locations and Transportation Safety programs and people.
  • Maintain confidentiality.

Preferred:

  • 2 years hauling permit experience.
  • Minimum 3 years experience in the heavy civil industry involving Fleet Management, Equipment Management, and/or DOT Compliance Management
  • Strong organizational skills and very detailed-oriented
