Direct Management:
Direct oversight of the following administrative tasks and team members that perform these functions.
General Areas of Responsibilities:
- Accounts Receivable
- Accounts Payable, Petty Cash, and Local Bank Checking
- All Customer Service including but not limited to inbound phones, customer setup and service creation, billing, alarm monitoring support, administrative reporting and audits, and all other branch administrative and customer service functions.
- Coordination with partnering branches and corporate departments on same.
- Initial new employee onboarding and related HR tasks, as well as continued support of branch employees.
- Coordination of employee travel and training needs, processing of initial licensing and licensing renewals.
- Payroll Processing
Supervision & Management:
- Provide leadership, support, and direction to Administrative Assistants and other office personnel
- Ensure that office personnel are working efficiently, and completing tasks in a timely manner
- Ensure that all office staff are fully trained, and provide training support as needed
- Conduct interviews and work with branch manager during hiring process to fill open office positions
- Facilitate the performance improvement process for all office associates, conduct performance coaching sessions, disciplinary sessions, and performance reviews, performance feedback, and mentoring
Required:
- High school diploma or GED equivalent
- 4 years of prior experience in a leadership or lead role training/ directing administrative personnel
- Strong written and verbal communication skills
- Strong organizational, time management, and mathematical skills
- Proficiency working with a computer, using email, and with Microsoft Suite; Outlook, Work, Excel
- Ability to use a 10-key pad to perform data entry efficiently, accurately, and in a timely manner
- Pass drug and background screening
- Valid driver’s license
Preferred:
- Associate’s degree or higher in a business discipline.
- 4 years or more experience working in the service or construction industries
- 4 years or more in an office leadership capacity
Physical Demands:
- Must be to use standard office equipment such as computers, phones, photocopiers, etc.
- While performing the duties of this job, the employee is required to talk or hear.
- The employee frequently is required to sit for long periods; stand; walk; use hands to finger, handle or feel; and reach with hands and arms
Job Type: Full-time
Pay: $15.00 - $20.00 per hour
