Clinic Coordinator

Location: Amherst, MA
Two part-time, hourly positions are open: 7:30 AM - 1 PM and 12:30 PM - 6 PM

Cambridge Biotherapies (Amherst office) is seeking a driven, enthusiastic, skillful, and empathetic office coordinator for our fast-paced and quickly-growing private mental health clinic. This role will greet patients as they arrive and provide administrative support to clinicians and management.

Our clinic specializes in providing psychedelic therapy, TMS, and, Medication Management with a compassion-oriented ethos for patients with depression, PTSD, anxiety, OCD, and other mental health conditions. We hold ourselves to the highest medical standards, and our organizational culture leans more toward concierge rather than institutional medicine. We pride ourselves on creating and maintaining a warm, welcoming, patient-focused environment for our patients.

Responsibilities

● Act as first point of contact with all potential and new patients to guide them through the intake process

● Perform check in, check out, and phone reception duties

● Schedule initial, follow-up, and maintenance appointments

● Verify insurance eligibility

● Secure prior authorizations and referrals as needed

● Collect copayments and outstanding patient balances

● Perform administrative duties such as scanning and faxing

● Collaborate as needed with senior management and clinical staff to ensure smooth administrative functioning of the clinic

● Maintain thorough and timely communication with all practitioners regarding both clinical and administrative matters

● Track patient progress through course of care and record in relevant tracking systems and software

● Build and maintain strong relationships with patients in person, over the phone, and through written communication as a means of support throughout their recovery journey

Requirements

● A bachelor’s degree

● 1-2 years in healthcare, preferably in behavioral health

● Basic knowledge of the healthcare industry including areas such as health insurance, electronic medical records, HIPAA, etc.

● Able to work 7:30am-1pm or 12:30pm-6pm Monday through Friday in our Amherst office

● Willingness to submit to background check

Job Type: Part-time (We hope to scale to full time shortly)

Salary: $20-25/hr
