Job Title: Client Services Assistant
General Job Description:
The Client Services Assistant at Samuel, Sayward & Baler (“SSB”) is responsible for assisting the Client Services Manager by responding to telephone calls and emails promptly, following up with clients, and scheduling appointments for all attorneys. Other responsibilities include supporting the receptionist or filling in at the front desk when she is out of the office, greeting and seating clients from time to time, and other administrative tasks such as drafting and finalizing correspondence to clients.
The Client Services Assistant will report directly to the Client Services Manager, and may also provide assistance to the Office Administrator, Attorneys, Paralegals, and other administrative assistants who work at the Firm.
Primary Duties and Responsibilities:
· Supporting the Client Services Manager
· Working with the Client Services Manager to respond to telephone calls and emails from new and existing clients, primarily related to scheduling
· Following up with clients by telephone and email regarding ongoing matters
Secondary Duties and Responsibilities:
· Supporting the Attorneys and paralegal staff
· Supporting the Law Office Administrator
· Backing-up to receptionist to answer and route incoming calls on a multi-line telephone system; greeting and seating clients
· Other administrative tasks, including, drafting and finalizing correspondence to clients, copying and scanning.
Qualifications for the Job:
· High School Diploma
· Associate’s/Bachelor’s degree

· Ability to operate multi-line telephone systems and office equipment such as computers, printers, scanners, copiers, and video conferencing equipment.
· Excels at using Microsoft Office Suite and Zoom
· Understands and is adept at using legal software such as Timeslips and Clio
· Strong written communication skills, including flawless spelling and grammar
· Familiarity with legal terms a plus
· Attention to detail
· Positive, upbeat attitude
· Patience in dealing with all types of personalities
· Dependability
