A Brief Overview
Responsible for supporting the Donor Search & Procurement Coordinator team to allow for the efficient operation of allogeneic unrelated donor services for the adult Blood & Marrow Transplantation and Cellular Therapy (BMT-CT) Program. Work includes daily communication and coordination with the National Marrow Donor Program (NMDP)/Be the Match and world-wide registries, cord blood banks and network partners. Participates in the Donor Selection Committee to oversee the review and selection of potential donors and graft sources to ensure selection of HLA-matched and medically suitable donor sources that increase patient overall survival. Coordinate with the HLA laboratory staff, Cellular Therapy Facility (CTF) staff, Cancer Center Trials Office (CCTO) and the BMT-CT multi-disciplinary team to facilitate donor search and transplantation in a timely and clinically appropriate manner.
What you will do
- Assists the BMT Unrelated Donor Search Coordinator in all aspects of the unrelated donor search & cell procurement processes.
- Establishes & maintains patient electronic medical records with all results and documentation related to the search process.
- Maintains donor sheets with donor health history, potential risks, dates of availability, and graft exclusions.
- Verify BMT recipient HLA at 14 loci while working with the HLA Scientists to ensure accurate reporting of patient and donor typing to NMDP.
- Oversees search registry billing process. Processes NMDP invoices, creates charge tickets for patient charges, and calculates facility fees.
- Completes accurate and timely submission of NMDP billing charges for processing.
- Verifies NMDP invoices for accuracy, submits to service line leadership for payment approval, and provides invoice package with leadership approval to SHC A/P for payment.
- Maintains SHC Charge Master section dedicated to donor registry search charges.
- Coordinates with NMDP to ensure timely delivery of donor HLA blood samples and UCB segments and ensures samples have been resulted and evaluated for compatibility.
- Interacts with all levels of personnel within and external to SHC, including physicians, nursing staff, administrative staff, and others.
- Records and distributes weekly agendas and meeting minutes for multidisciplinary meetings with transplant physicians and other team members to update search progress, develop search strategies and discuss patient status.
- Facilitates the timely submission of patient research samples and/or excusal forms for the 143 Research Sample collected for the Stem Cell Therapeutic Outcomes Database.
- Distributes Center for International Blood & Marrow Transplant Research (CIBMTR) updates regarding Continuous Process Improvement (CPI) to Clinical Research Coordinators (CRCs) with the status of SHC standing and provides Airbills as needed.
- Prepares and submits up-to-date Patient Working Lists to Box and Kaiser weekly.
- Coordinates Donor/Recipient Correspondence with NMDP Local Provider Partners.
- Enters final product orders in Epic EMR and complete Epic documentation as needed.
- Confirms patient engraftment status and releases all donor sources with NMDP.
- Supports BMT Donor Search Coordinators on process improvement projects.
- Understands and adheres to the NMDP Transplant Center Manual of Operations.
- Understands BMT Donor Search Coordinator duties and how to perform them in the coordinator’s absence.
- Performs other duties as required by department needs.
Education Qualifications
- Two years in a work-related discipline/field; Or
- Associate’s degree from an accredited college or university
Experience Qualifications
- Two (2) years of progressively responsible and directly related work experience.
- Cancer Center and/or Histocompatibility experience highly desired.
