POSITION: Behavioral Health Billing and Intake Coordinator- 32 hours

PROGRAM/LOCATION: HomeFirst Services of Santa Clara County

SUPERVISOR: Program Manager

JOB TYPE: Non-Exempt

JOB STATUS: Regular, Full Time with Benefits, 32 hrs/week

COMPENSATION: $27.30/Hourly


PROGRAM SUMMARY:


The goal of HomeFirst’s North County Care Coordination Project is to provide permanent housing stability and maintenance for chronically homeless individuals and families in the Northern part of Santa Clara County, California. The agency’s North County Care Coordination Project will achieve this goal by providing participants with comprehensive supportive services to help them maintain or attain permanent housing. Intensive, individualized, and therapeutic case management services coupled with linkage to a network of community resources- psychiatric, medical, and otherwise, assist clients in averting homelessness, maintaining housing, and increasing self-sufficiency. The North County Care Coordination Project is Medi-Cal certified and provides therapeutic services to program participants.


DUTIES/RESPONSIBILITIES:


Billing (50%)


  • Assist with the client census and billing process for clinical services clients in collaboration with the 3rd party payer, Medi-Cal
  • Maintain client records
  • Maintain current Medi-Cal eligibility information
  • Assist with auditing, billing, and maintaining client and billing records
  • Input and maintain client information in the myAvatar system
  • Produce monthly billing reports and track productivity
  • Attend all billing-related meetings
  • Collaborate with Finance Department on billing-related material
  • Perform other duties as necessary for the agency's good and as assigned by the supervisor.
  • Work in collaboration with program staff to ensure billing is turned in on time each month

Intake (25%)


  • Maintain referral logs, client census, and funding eligibility tracking system.
  • Initiate and manage the opening and discharge process, ensuring that all required forms, consents, legal documentation, etc. are in place, and that all related activities have occurred in a timely manner.
  • Maintain tracking and data tools for programs including, but not limited to: Admit/Discharge, Program Censuses, Client Registry, Annual Updated Forms, and Document Tracking.

Outreach/Light Touch Case Management (25%)


  • Provide support to case managers by obtaining documents to house clients (such as social security information, ID, income verification, and general assistance)
  • Transport clients, as needed, to obtain the documentation mentioned above
  • Support case managers in locating missing clients
  • Provide support as a backup for emergency client needs
  • Support case managers in obtaining benefits for clients
  • Assist in engaging clients

General


  • Attend all meetings relevant to this position
  • Assist with office-related tasks as needed
  • Assist with other duties assigned



MINIMUM QUALIFICATIONS:

  • High School Diploma or equivalent required; AA or technical/vocational/secretarial school diploma preferred
  • Two years of billing/administrative experience in a mental health or health care setting is preferred but not necessary

SKILLS AND ABILITIES:


  • Exceptional organizational skills
  • Strong written and oral communication skills
  • Ability to manage multiple projects concurrently and be flexible with priorities
  • Demonstrated ability to develop and maintain priorities and meet established deadlines
  • Familiarity with Medi-Cal billing and Medi-Cal documentation is preferred but not necessary
  • Experience with the myAvatar data system is preferred but not necessary
  • Ability to learn Medi-Cal billing and the myAvatar system, if not familiar with it
  • Strong sense of accountability
  • Ability to present oneself and the agency professionally to internal and external audiences
  • Ability to work as a member of a team
  • Ability to work with people of diverse socio-economic backgrounds
  • Understanding of and sensitivity to the needs of the homeless population

OTHER:

  • Valid CA Driver’s License
  • Ability to lift up to 25 lbs. on occasion
