Intermountain Electronics, Inc., is seeking an Associate Buyer/Office Administrator at our Centralia, Illinois facility. IE is a leading provider of custom engineered and manufactured process and electrical systems to the mining, oil & gas, and power/utility industries in North America. IE’s turnkey products are generally mobile - mounted on skids or in portable e-houses. Our products include portable power/generators, substations, electrical control rooms (MCCs/VFDs/switchgear), water-flood/disposal buildings, compressor skids, metering equipment, mining power skids, and other products used in the energy, oil & gas, and mining sectors.

The Associate Buyer/Office Administrator will, under general supervision, perform a wide variety of routine to moderately difficult clerical and Human Resource support functions, including receptionist, data entry and records management duties; and coordinates activities involved with procuring goods with other buyers as assigned.

Major Duties

  • Operates a computer and performs data entry in accordance with standard procedures and computer system
requirements; verifies the accuracy of input data; updates computer records; generates reports and documents.
  • Maintains a variety of standard office and specialized records and files; prepares manual and computer logs and
files; summarizes information and prepares routine reports.
  • Opens, timestamps, logs and routes office mail; stuffs, sorts and prepares outgoing mail for pickup; retrieves,
delivers and sends faxes.
  • Answers, screens and refers telephone calls; takes telephone messages; assists customers; takes customer
orders and enters information into Vantage computer system; responds to routine customer questions and
complaints; mails requested materials and documents; assists in purchasing parts to fill customer orders.
  • Speak with others using clear and professional language, and answer telephones using appropriate etiquette.
Welcome and acknowledge all guests according to company standards.
  • Files correspondence and records; types, formats, edits, revises, proofreads and prints notices, reports,
correspondence, memoranda, transmittal sheets, routine contracts and other documents; composes routine
correspondence.
  • Copies, compiles and distributes documents and materials; prepares packing lists; pulls files upon request;
makes new file folders; retrieves, duplicates and distributes copies of records; creates and maintains
chronological files; maintains up-to-date file listings, indexes and cross-references.
  • Act as backup for shipping and receiving
  • Maintains appropriate stock level of office supplies
  • Operates standard office equipment. Maintain office inventories and supplies.
HR Administration
  • Post jobs, review applications, arrange/conduct interviews,
  • Be a part of the new hire process and paperwork completion.
  • Track and record employee training
  • Help arrange modified duty for work related injured workers
  • Assist employees with benefit questions/issues
  • Maintain legal compliance
Purchasing
  • Generate PO’s by specific commodities
  • Maintain records ensuring proper archive duration, documentation of approval authorization, and material
certification in purchase order files.
  • Create Packing Slips for jobs
  • Expedites delivery of goods to users.
  • Use PO dashboard and check to make sure parts are being shipped on time. Inform project engineers of parts
being shipped late.
  • Confirm PO’s in system, work with vendors to ensure all PO’s are confirmed, pricing is accurate and promise
dates are accurate.
  • Regularly review “Change PO Suggestions”, take appropriate action as required.
  • Expedite parts as job schedule changes.
  • Fill out MRF’s for employees needing reimbursements.
  • Respond to emergency orders that require immediate attention.
  • Review requisitions, generating PO’s when necessary.
  • Confers with vendors to obtain product or service information such as price, availability, and delivery schedule.
  • Work with AP to ensure accuracy from PO to Receipt to Invoice.
  • Maintains procurement records such as items or services purchased, costs, delivery, product quality or
performance, and inventories.

Experience and Skills:

Knowledge, Skills and Abilities

  • High School Diploma, GED or equivalent plus one year office related experience or an equivalent combination of
education and experience
  • Basic background in human resource administration
  • Basic understanding of IE organization and operations, procurement principles, policies, & procedures
  • Background in domestic logistics processes
  • Strong background and knowledge in the production and manufacturing of electrical distribution equipment related
to mining industry
  • Demonstrated customer service skills and phone conversation skills
  • Ability to operate word processing software and common office equipment.
  • Good administrative, interpersonal, and communication skills.
  • Confident with the ability to work closely and collaborate with employees, peers, and management
  • Demonstrated proficiency to achieve high quality results through continual attention to detail
  • Ability to collaborate with engineering project team and shop personnel, human resources to ensure successful
completion of projects.
