THE POSITION:
Under the direction of and assigned supervisor, the ASB Bookkeeper (High School) provides an array of fiscal services for the student body activities; conveying and updating fiscal information; and ensuring that fiscal practices are followed and disbursement of funds are within proper and legal guidelines.

MINIMUM QUALIFICATIONS:
EDUCATION AND EXPERIENCE:
High school diploma or equivalent with some college/business school.
Any combination equivalent to: sufficient training and experience to demonstrate the knowledge and abilities listed in the position description. Typically this would be gained through graduation from high school and two years' accounting/bookkeeping training at a college or business school and/or three years full time office experience.
LICENSES AND OTHER REQUIREMENTS:
Knowledge of accounting and bookkeeping procedures.
Working knowledge of computer programs including Word, Excel, Skyward and database programs.
Demonstrated knowledge of standard office machines and demonstrated outstanding communication and interpersonal skills.
Ability to handle delegated administrative details, requests for information and other matters brought to the Administrator’s office.
A current First Aid/CPR Certificate; or successful completion of the District’s First
Aid/CPR class.
Pre-employment requirements include a Washington State Patrol check and FBI clearance.
KNOWLEDGE AND ABILITIES:
Demonstrated ability to communicate clearly and work effectively with students, staff and parents.
Willingness to receive instruction and/or supervision from the assigned supervisor.
All applicants must have successfully passed the required District basic skills test on reading, writing and basic mathematics, as well as an advanced office skills test.
Academic areas to be tested are spelling, reading, language, mathematics computation and applied mathematics. Office skill areas to be tested include typing 45 correct words per minute on a computer keyboard, electric calculator, word processing, financial spreadsheets, databases, and presentation applications.
Maintain student and staff confidentiality.
Exhibit an appropriate demeanor conducive to a public work setting associated with being a role model for children, youth, and other employees.
Must have good organizational skills.
Ability to establish and maintain effective working relationships with a variety of people.
Maintain a safe work environment.
PREFERRED QUALIFICATIONS:
Experience working in schools or district offices in similar positions.
Knowledge of laws, policies and procedures for disbursement of public funds.
Experience working with Microsoft Office Software.
College training in the areas of accounting practices.
Bilingual in Spanish or other languages.

PHYSICAL ABILITIES:
Hearing and speaking to exchange information in person and on the telephone; seeing to read, prepare and proofread documents; sitting or standing for extended periods of time; dexterity of hands and fingers to operate a computer keyboard and other office equipment; kneeling, bending at the waist and reaching overhead, above the shoulders and horizontally to retrieve and store files and supplies; able to lift and carry 50 pounds.
THE DETAILS:
Essential Functions
Analyzes expenditures against budget for the purpose of determining feasibility of service within budget parameters, making recommendations and/or maximizing use of funds.
Assist assigned building administrator for the purpose of providing general clerical support in the completion of their work assignments.
Collects funds from students (e.g. lost text books, ASB cards, play tickets, ticket sales, yearbook purchases, athletic equipment distribution, etc.) for the purpose of ensuring receipt of revenues, accuracy and timely completion of transactions. Coordinates development of reports (e.g. tracking various items, fund raisers, sales tax, etc.) for the purpose of meeting deadlines and complying with district, state and federal guidelines.
Implements reporting procedures and internal controls for the purpose of maintaining accurate records and complying with the record keeping, district policies and/or other regulatory requirement.
Informs various parties regarding required documentation and/or procedures (e.g. student advisors, coaches credentials, students, vendors, etc.) for the purpose of conveying information necessary to complete transactions.
Maintains a variety of fiscal information, files and records (e.g. calendar, accounts payable, accounts receivable, student activities, contracts, money boxes, reimbursements, etc.) for the purpose of providing an up-to-date reference and audit trail for compliance.
Monitors account balances and related financial activity for the purpose of ensuring that allocations are accurate, related revenues are generated, expenses are within budget limits and/or fiscal practices are followed.
Oversees student workers as assigned for the purpose of guiding and monitoring their activities.
Prepares cash deposits from school activities for the purpose of making daily bank deposits.
Prepares written materials (e.g. reports, memos, letters, checks, rosters, awards, announcers sheets, scheduling buses, etc.) for the purpose of documenting activities, providing written reference and/or conveying information.
Processes a variety of information (e.g. financial information, student eligibility/clearance for athletics, medical kits, money boxes, etc.) for the purpose of updating information and/or authorizing final action in compliance with accounting requirements, state and local regulations.
