Salary: $20-24 per hour DOQE

Description:

The Administrative Support Coordinator performs various duties to track and update our strategic planning process and ensure we are keeping items up to date. The Assistant General Manager will assign a variety of duties to assist with completing duties. This employee will need to be detail-oriented in order to complete tasks independently.


Duties:

  • Assist Assistant General Manager with various duties.
  • Performs clerical work as needed, including typing correspondence, completing forms, filing, and contacting the appropriate correspondent.
  • Prepare and modify documents, including correspondence, reports, drafts, memos, and emails.
  • As needed, coordinate meetings, meeting rooms, tours, and special visitors/functions.
  • Track and monitor Strategic Plan and update the plan as necessary.
  • Communicate effectively and efficiently with various departments.
  • Must be detail-oriented.
  • Plans, participates, and organizes special events; prepares ceremonial items such as proclamations, certificates, and awards.
  • Use independent judgment and analytical skills to resolve customer inquiries and complaints.
  • Other business duties as needed or required.
  • Performs other related job duties and responsibilities as assigned.

Qualifications:

  • High School diploma required. Bachelor’s degree preferred. Prior experience may be considered in lieu of a degree.
  • Minimum of three years of recent direct relevant experience. Local governmental and/or utility experience preferred.
  • Proficiency with Word/Excel/PowerPoint.
  • Excellent technical writing and communication skills and experience in making technical and business presentations.
  • Ability to communicate effectively both verbally and in writing, a positive attitude, and the ability to work independently or as part of a team.
  • Valid Class C Texas Driver’s License or ability to transfer from another state.

Physical Requirements:

  • High School Diploma or GED equivalent is required, in addition to 3-4 years of experience providing customer services.
  • Knowledge of Customer Service principles and methods.
  • Able to use judgment and initiative when analyzing problems, resolving disputes, and presenting effective solutions while considering the department’s policies and procedures.
  • Skill in quality customer service, especially managing irate and emotional customers.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to effectively work and adapt to frequent interruptions and changes in priorities.
  • Ability to communicate tactfully and effectively with employees in the department, other city departments and the public.
  • Knowledge of automated systems for billing on accounts, online cashiering, and working with management.
  • Skill in use of computer software packages such as Microsoft Excel, Word, Outlook, and PowerPoint.

Conditions of Employment:

  • Must have a valid Class "C" Driver's License prior to employment (must obtain Texas Class "C" driver's license within 30 days of hire per state law).
  • Must pass a drug test, driver's license check, criminal history background check, and social security number verification check.

Work Environment:

  • Frequently required to sit and use hands/fingers to handle, feel, and manipulate keys on a keyboard. Must be able to lift up to 30 pounds. Must be able to walk, stand, and work for extended hours.
  • Requires visual acuity sufficient to recognize people, words, and numbers, including close vision. Requires speaking and hearing ability to hear over the phone and carry on routine conversations.
  • Typical office work environment. Required to operate a personal computer, photocopy machine, facsimile machine, calculator, telephone, CB radio, etc.
