To support the continued growth of our business, the Administrative Coordinator will maintain and organize the office and support Management in various tasks.
ESSENTIAL DUTIES & RESPONSIBILITIES:
- Administrative duties in finance with SAP GL entries, monthly accruals, validation of internal and external invoicing, employee benefits follow up, and other ad hoc tasks related to support of the Head of Finance.
- Record keeper for governance of legal entities as well as contractual agreements (maintain registered agents, recording and distribution of legal entities’ meeting minutes, draft resolutions and consents, annual filings for legal entities per state).
- Follow up and maintenance of Custom Bond(s), Letters of Credit, and Corporate Guarantee(s).
- Assist in the organization of meetings and travel when required.
- Maintain relationship with office vendors including hotels and service providers.
- Maintain office facilities and supplies in good order and main relation to Building Maintenance and Management.
- Other general office duties including mail sorting may be assigned as needed.
COMPETENCIES REQUIRED:
- Basic financial skills and accounting proficiency
- Detail–oriented and well organized
- Strong sense of urgency, initiative and drive
- Excellent teaming and interpersonal skills
- Strong computer skills data entry and 10 key; Microsoft Excel, Word, and PowerPoint proficiency
- Excellent communication skills, both written and oral
- Results oriented and strong problem-solving skills/analysis
- Customer/Client Focus
- SAP experience not required but preferred
EDUCATION AND EXPERIENCE:
- Associates Degree in Paralegal Studies or similar preferred
- Substantive understanding of legal concepts
- Minimum 3 years experience in similar position
POSITION TYPE / EXPECTED HOURS OF WORK:
This is a full-time position. Days and hours of work are flexible but mostly Monday through Friday, 8am – 5pm. Evening and weekend work may be required as job duties demand but are infrequent.
TRAVEL:
Very light to no travel expected for this position. Possible travel for training purposes (i.e. visits to other Hydro plant or corporate office).
